You will keep the program running smoothly by owning monthly invoicing, project setup, recurring reporting, and the onboarding and offboarding of program team members. This is a people-first operations role. You will work side by side with program leadership, finance, and customer counterparts, and you will be the first face new team members meet when they join. We also encourage you to bring fresh ideas, including smart use of AI tools, to make our deliverables and processes better every month.\nThe Work:\nManage the monthly invoicing cycle from data validation and reconciliation through submission and audit readiness.\nTrack labor, materials, and subcontractor costs, and follow invoices through to payment, partnering with finance and the customer to resolve open items quickly.\nWelcome new team members and lead orientation sessions that make required program documentation clear and easy to complete.\nPrepare and distribute onboarding materials, set up profiles in the customer database, and confirm all paperwork is accurate and complete.\nManage offboarding for departing team members: confirm program access is revoked, close out processes, and archive records per customer policy.\nSupport project setup, including funding documentation, contract data entry, and system updates.\nBuild and maintain monthly program and project reports, dashboards, and financial summaries that help leaders make decisions.\nMaintain contract documentation, deliverable calendars, financial logs, and reporting schedules; keep an eye on deadlines so nothing slips.\nDocument current processes, spot opportunities to simplify them, and work with cross-functional teams to roll out improvements.\nHelp develop and maintain SOPs, trackers, and templates so the whole team can work consistently.\nExplore and apply AI tools (for example, Microsoft Copilot) to speed up reporting, draft and QA deliverables, automate repetitive tasks, and surface insights, always with appropriate review and in line with customer and AFS data-handling policies\nAct as direct support; reporting to PMO Lead •Administer PMO functions (eg personnel management, tracking, onboarding and offboarding processes)\nCollaborating and providing operational support to multiple programs ensuring seamless program execution\nDevelop and maintain comprehensive program documentation\nManage the distribution and tracking of smartcards, monitoring expiration dates\nPrepare key performance indicator (KPI) deliverables for program leadership and facilitate client communication\nProactively escalate personnel concerns to program leadership\nTrack/manage customer facility accesses and equipment inventory\nContribute to the organization and execution of employee engagement events\nPersonnel schedule updates as needed\nSupport ad hoc administrative tasks\nHere's what you need: \nBachelor's degree, or equivalent work experience\n2 + years of Microsoft Suite (Excel, Outlook, PowerPoint, and Teams is essential)\nExperience as an onboarding specialist or in a similar HR type role\nBonus points if you have:\nStrong verbal and written communication skills, with the capacity to interact effectively with both internal and external stakeholders\nAn ability to operate autonomously with minimal supervision, attention to detail and organizational skills\nCustomer service experience\nSecurity Clearance: \nMust be willing and eligible for a TS/SCI security clearance\nMust have a valid US Passport\nAs required by local law, Accenture Federal Services provides reasonable ranges of compensation for hired roles based on labor costs in the states of California, Colorado, Connecticut, Hawaii, Illinois, Maine, Maryland, Massachusetts, Minnesota, New Jersey, New York, Ohio, Vermont, Virginia, Washington, and the District of Columbia.
