As we move away from inbound paid search, events are one of the main ways we build pipeline and move the brand forward across the US and Canada. This role makes those events happen.\nAbout the Role\nAircall is looking for an experienced Event Coordinator to join our Field Marketing team and run the planning, logistics, and execution behind our events across the US and Canada.\nYou will be the person who makes events happen: from executive dinners and roadshows to partner events and larger flagship moments. You will work alongside Field Marketing, Sales, Account Management, and Partnerships counterparts, as well as Performance Marketing, Creative, and Content, so that every event ties to pipeline and brand goals.\nWe are looking for someone organized, hands-on, and calm under pressure, who takes pride in events that run smoothly and deliver results.\nThis role will be hybrid from either our New York or San Franscisco office.\nWhat You'll Do\nPlan and run events end to end: coordinate executive dinners, roadshows, partner events, customer events, and larger flagship moments, from first brief to post-event wrap-up.\nOwn the logistics: manage venues, catering, AV, travel, shipping, signage, and swag, and build run-of-show documents and checklists for every event.\nManage vendors and venues: source, negotiate with, and manage agencies and vendors, and hold them to budget and quality.\nTrack the budget: monitor spend against each event budget, manage invoices and POs, and flag overruns early.\nDrive attendance: manage invitations, registration, and guest lists with Sales, Account Management, and Partnerships so the right accounts are in the room.\nBe on site: run events on the ground, including some travel across the US and Canada.\nClose the loop: capture attendance and lead data in Salesforce and our marketing automation platform, support timely follow-up with Sales, and report on event results.\nWork with Creative and Content: brief event assets, signage, and collateral, and keep event messaging consistent with the brand.\nBuild the playbook: document processes, templates, and lessons learned so events get easier to run and repeat.\nSupport customer story and partner programs: help with events that showcase customers and partners.\nWhat We're Looking For\n3 to 5+ years in event coordination, event marketing, or event production, ideally in B2B SaaS or technology.\nA track record of running events of different sizes, from small executive dinners to large conferences or trade shows.\nStrong vendor and venue management skills, including negotiating quotes and managing contracts.\nComfort tracking budgets, invoices, and POs against event plans.\nExcellent organization and attention to detail, with the ability to manage several events at once.\nClear, confident communication with Sales, Account Management, partners, and external vendors.\nExperience with Salesforce and a marketing automation platform such as HubSpot or Marketo.
