Location - This role is primarily in-person at North Campus Edmonton, with potential flexibility for some remote work.

The Dianne and Irving Kipnes Health Research Institute is seeking a highly organized and collaborative Operations Coordinator to join our growing team. This role offers an opportunity to contribute to the development of a new multidisciplinary health research institute, providing administrative, operational, communications, and engagement support across a diverse range of activities. Working with Institute leadership, researchers, program teams, and partners, the successful candidate will provide support for day-to-day Institute operations and Institute initiatives, help coordinate events and engagement activities, support communications and membership engagement, and contribute to building a connected and collaborative research community.

  • Provide day-to-day administrative and operational support for the Institute, its leadership, program areas, initiatives, communications, events, research activities, and special projects.
  • Coordinate meetings, events, workshops, engagement activities, and other initiatives, including scheduling, materials, logistics, participant coordination, and follow-up.
  • Support communications, outreach, and engagement, including website and social media content, newsletters and other communications materials, working collaboratively with Institute leadership and program teams and with the College of Health Sciences Communications Team.
  • Support the recruitment, onboarding, and ongoing engagement of Institute members, including member communications, records and information, events, networking opportunities, and other activities that help build a connected community.
  • Support financial and administrative processes, including purchasing, expenses and reimbursements, travel, onboarding, records management, correspondence, and effective administrative processes and systems.
  • Assist Institute leadership and program teams with monitoring, reporting, and documentation related to Institute and program activities, membership, research outputs, partnerships, events, and impact.
  • Post-secondary diploma or degree in administration, communications, marketing, business, or a related field (or equivalent combination of education and experience), with 3-5 years of relevant experience; experience in an academic, research, health, or public-sector environment is preferred.
  • Experience providing administrative and operational support, including coordinating meetings and events, supporting leaders, and assisting with financial and administrative processes.
  • Experience supporting communications and engagement, including digital and social media content; basic graphic design and website experience are assets.
  • Excellent communication, interpersonal, organizational, and time-management skills, with strong attention to detail and the ability to manage multiple priorities.
  • Demonstrated initiative, sound judgment, adaptability, discretion, and ability to work independently and collaboratively with diverse stakeholders.
  • Proficiency with Microsoft Office and Google Workspace and the ability to learn new systems and digital tools, including appropriate use of generative AI.
  • Knowledge of academic/research environments and the University of Alberta or Alberta health research ecosystem is an asset.
