This position has a term length of 1 year plus 1 day.

Location - This role is in-person at North Campus Edmonton.

The primary functions of the Student Services Assistant are to support the Faculty of Law by performing a wide array of administrative tasks involved in the daily operations of the faculty, including front-line support. This role is an essential student facing role and acts as the first line of communication with many of our students and prospective students in our student service center.

General Administrative Support:

  • Ensures all visitors to the Student Services office are greeted accordingly and that inquiries are handled in a proficient and confidential manner; act as the first point of phone contact for general inquiries about the Faculty of Law and Law student services.
  • Oversee the student services office, including: mail /courier, photocopiers, procurement of office supplies, access requests, etc.
  • Supports the planning and delivery of faculty and student events (on and off site) including ordering catering, hosting, event set-up/tear-down, communications, etc.
  • Oversee equipment sign-out for students and student space bookings
  • Sends out communications to students on a variety of matters and oversee posters and printed communications in common areas of the law center.

Student Services Support:

  • Assists with maintaining student electronic and paper files (via Alfresco, PeopleSoft, electronic Prizes and Awards Forms, etc.)
  • Assists with all other student services functions during peak periods, including: admissions, prizes and awards, recruitment and student wellness programming.
  • Assists with collection and distribution of academic materials between student and faculty members.
  • Assists with exam coordination and delivery, including proctoring, picking up and dropping off exams with Student Accessibility Services, etc.

Facilities Support:

  • Acts as the primary point of contact for facilities on both work requisitions and maintenance requests for the first and second floors of law center; ensure all work is completed accordingly.
  • Distributes building notices (e.g., shutdowns, etc.), both electronically and posting printed notices·
  • Manages and assigns One Card access for all incoming and current students
  • Ensures law classrooms are setup appropriately, including equipment and furniture configuration and appropriate access and signage.
  • Minimum of office administration diploma; equivalent combinations of experience and education will be considered
  • Minimum 12 months administrative experience
  • Advanced computer skills including Microsoft Office and Google applications
  • Ability to take initiative and work independently and accountably in a positive manner
  • Ability to embrace change, adapt to new information, and work proactively and positively in an evolving organizational context
  • Ability to set priorities and manage changing/conflicting priorities and tight deadlines
