This position offers the chance to work in a fast-paced, dynamic environment that’s constantly evolving.\nMain responsibilities:\nThe Accounting Coordinator supports both Finance and General Administrative functions by processing high-volume financial transactions, maintaining audit-ready documentation, coordinating vendor compliance activities, and managing workflow related to AP invoices, lockbox checks, payroll, and operational reporting. This hybrid role ensures accuracy, timeliness, and compliance across multiple financial processes while providing cross-functional support to internal departments and external partners.\nAP Invoice Processing - Process, verify, and code invoices for Department warehouse teams; ensure accuracy and audit compliance.\nAP/AR Lockbox Check Processing - Retrieve, verify, record, and track incoming lockbox checks for Finance.\nInventory Loss/Damage Processing & Tracking - Maintain daily processing of Form 120 documents, ensure accuracy, and support of WINC-related workflow changes.\nPayroll Support - Process missed punches, support Workbrain corrections, and maintain accurate payroll documentation.\nInsurance Claim Invoicing & Tracking - Track, process, and reconcile insurance-related invoices.\nGeneral Account Audit & Corrections - Support account accuracy through periodic audits and correcting discrepancies.\nCommunication - Monitor and manage the finance team group mailboxes, responding to supplier inquiries and routing general inquiries/store requests.\nSupplier Support & Customer Service Liaison - Provide support to suppliers, handling questions, and documentation needs.\nVendor Pallet Audit & Compliance - Process vendor compliance photos for tracking and audit purposes\nOperational & Financial Reporting - Support a wide variety of operational and warehouse reporting, including:Transfers & Case Volume KPI reporting\nTruck Shop Trimble Software (data management)\nSupplier Invoicing (data management)\nProspero Software (data management)\nEAM Software reporting (data management)\nPayroll reporting\nLine-item expenditure reporting\nWarehouse operations KPIs (data management)\nAP/AR Invoice Aging & Tracking / Period Close Reconciliation - Assist with timely month-end and year-end AP reconciliation.\n\nGeneral Administrative Responsibilities\nOffice Supply Orders - Order office supplies for Finance and other areas; maintain accurate supply tracking.\nMail Processing - Sort, distribute, and manage daily business mail. \nVendor Compliance (Photo/Imaging Processing) - Process vendor compliance photos for tracking and audit purposes.\nWe are looking for candidates who possess the following:\nStrong attention to detail with the ability to maintain high accuracy in financial documentation\nWorking knowledge of AP processes, payroll systems (e.g., Workbrain), and operational reporting tools\nAbility to multitask in a high-volume environment\nStrong communication skills and ability to work with cross-department teams\nProficiency in Microsoft Excel and standard office software\nEducation: Associate’s Degree in Accounting, Finance, Business Administration, or a related field; OR Equivalent combination of education and experience in accounting, payroll, or administrative support.\nPreferred: Bachelor’s Degree in Accounting, Finance, Business Administration, or a related discipline.\nAdministrative Skills: Strong organizational and time management skills, attention to detail, and proficiency in Microsoft Office suite (Excel, Word, etc.). \nAccounting Knowledge: Basic understanding of accounting principles and financial reporting. \nCommunication and Interpersonal Skills: Ability to communicate effectively with colleagues, clients, and vendors. \nData Entry and Software Proficiency: Experience with financial software like Oracle, or SAP.
