This role interfaces with flight crews, grantees, National Science Foundation (NSF) managers, field camps, fellow ASC work centers, and other required agencies on station in support of the NSF’s scientific mission at aviation-supported camps, directs the movements of constantly changing cargo and passenger loads for flights in real time, inputs accurate flight data for all completed missions, and tracks the data for reporting purposes. Candidates mustdemonstratethe ability to be autonomous in their role within approximately one month of arrival and be able to remain focused within a busy work environment.\nPosition Responsibilitiesfor all AviationOperations(Av Ops)CoordinatorPositions:\nFacilitates the movement of passengers and cargo on USAPaircraftby coordinating required support activities between various USAP agencies & ASC departments.\n\nUtilizes Google Earth, AFF, and other flight tracking software tomonitoraircraftmovements.\n\nEnters mission data and causes fordelays/aborts/cancellationsand generates multiple reports in Maximo, Pipeline (SQL software), Microsoft Access/Excel, and other programs tofacilitate, track, and coordinate USAP’s planned on-continent cargo and passenger movements.\n\nInteracts with the NSF, their sub-contracting agencies, militarypersonneland other agency officials in a professional and tactful manner.\n\nMaintains geographiccoordinatesdocumentation.\n\nEnsures compliance with applicable Safety, Environmental, Health, and Waste Management policies/procedures and ensures that safety is the utmost priority in the workplace.\n\nPerforms other duties asrequired.\n\nHelicopter Operations AvOps Coordinator - Day Shift:\nMaintains communication with pilots, field parties and/or field camps asrequired. This responsibility includes relaying updates on weather and other environmental conditions, emergent safety factors, and all changes in support requirements to relevant agencies and participants.\n\nAssists AvOps leadership in the execution ofallocatedflight hours based on NSF priorities by providing input/making decisions as to more efficient ways to conduct flights given current/changing conditions.\n\nResponsible for visually clearingthe McMurdo heliport and communicating hazards to inbound and outbound traffic.\n\nGathers critical weather observations from remote field camps and weather stations to relay to flight crews.\n\nFixed WingOperationsAvOpsCoordinator - Day Shift\nMaintains day-of flight communications with crews to compileaccurateflight data for entry\n\nCollaborates directly with science and operational groups to planand preparecargo manifests on light and medium liftaircraft\n\nDisseminates flight schedule information and updates to the USAP community via Public Area Displays, USAP intranet publications, email & other methods.\n\nAssists AvOps leadership in the coordination of support foraircraft, passengers, and cargo from other National Antarctic Programs transiting through McMurdo & South Pole Stations.\n\nAttends flight-planning meetings with science and operational groups when possible.\n\nMaintains fuel cache inventorydocumentation.\n\nCompiles presentation materials for twice weekly meeting attended by all Fixed Wing schedule stakeholders.\n\nDual Helicopterand FixedWingOperationsAv OpsCoordinator -Swing Shift\nWorks autonomously out of thehelicopterhangar to implementeveningoperations for the helicopter operation including adjusting scheduled missions to meet currentcircumstances, communicating changes to passengers and crews, clearing the McMurdo heliport for potential hazards, andmaintainingcommunication with field partiesanticipatingflights.\n\nAssisting the Helicopter Operations Supervisorand Fixed Wing Operations Supervisorwith scheduling flights for the next day.\n\nRe-publishing the Helicopterand Fixed WingScheduleswhen changes need to be made after 1730 or “town hours”.\n\nFixed Wing flight data entry for flights that return after 1730 or “town hours”.\n\nMonitoring& responding toFixed Wing communication streams whileactivelyworking from the helicopter hanger.\n\nRequired Education, Experience, Certificates and Licenses:\nHigh School diploma orGED\n\nTwo years’ experience in administrative duties customer service, reporting or data management is required.\n\nExpected Skills and Competencies:\nProficient in Microsoft Office Suite (Excel, Word, Outlook)\n\nMust be skilled in word processing,spreadsheetsand database software, and have strong written and verbal communication skills.\n\nMust be willing to work swing shift or evening shift, if necessary.\n\nPreferred:\nExperience with field work, science support, or remote logistical support is strongly preferred.\n\nExperience in aviation logistical support or passenger and cargo movement, to include documentation,expediting, and tracking is strongly preferred.\n\nRecent USAP experience, especially any work related to field logistical support, is strongly preferred.\n\nFamiliarity with radio communications, particularly in the aviation or emergency response realms, is strongly preferred.\n\nPhysical and/or Other Requirements:\nWillingness and ability to deploy to Antarctica for extended periods\n\nSuccessful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica\n\nSuccessful completion of drug screening and background check required by employer\n\nSuccessful completion of Federal Background Check required by the NSF\n\nMust be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum as required by the position.\n\nMust be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold as required by the position.\n\nMustparticipatein community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts & safetyobjectives.\n\nValid Driver’s License issued in the United States\n\nNo clearance requirement but the contract and/or the site requires US Citizenship to be approved for access. (includes NACI / T1, MRPT, CAC): Must be able to obtain andmaintainfacility credentials/authorization.
