The Supply Assistant Supervisor is accountable for the planning, monitoring, and reviewing work of subordinates and making recommendations concerning performance appraisal and professional development.This roleassiststhefulltimeSupply Supervisor in coordinating the movement and storage of goods,maintainingaccurateinventory records, and ensuringtimelydelivery of supplies to various departments within the organization.Implements standard operating procedures andassistsin the review and revision of operatingprocedures.\nPosition Responsibilities:\nAssist the Supply Supervisor in overseeing day-to-day supplylogisticsoperations andprovidinga broad range of coordinationfor the department, including staff scheduling, datamanagementand resource tracking.\n\nCollaborate with internal Supply teams to gather andmaintainreporting data and documentation for weekly reports to the Supply Supervisor, Station Management and Logistics DepartmentManagement.\n\nCoordinate andmonitorthe receipt, storage, and distribution of supplies, ensuring compliance with quality and safety standards.\n\nAssistsin the management and tracking oflabor allocations for all Supply department personnel.\n\nAids Supervisor in ensuring all departmental documentation and standard operations procedures (SOP’s) are effectively trained to,trackedand documented.\n\nAssistin conducting regular inventory audits to reconcile physical stock with database records.\n\nAssistancein analyzing supply chain data toidentifytrends, inefficiencies, and areas for improvement.\n\nResponsible for implementing,maintaining,schedulingand presenting a consistent safe workplace program that is cascaded to all Supply work centers.\n\nAids with the maintenanceand tracking ofall safety records and training requirements for personnel in ATTACK training tracker.\n\nHelpmaintainsemergency documentation, vessel operations organization charts, and contact lists\n\nAssists, trains and works with vessel offload operationsand procedure planning, setup, take down and reporting for the distribution of materials. May be assigned any role and work any shift in a 24-hour period during vessel offload or during other special operations while deployed.\n\nWorks with the Supply Supervisor to plan and organize meetings, arrangeactivitiesand events asessentialin theSupplydepartmentas well as organizes and conducts daily/weekly safety meetings andmaintainsattendance and subject matter documentation.\n\nAssists Supply Supervisorwith the coordination ofincoming staff, includingdocumentation packets,training schedules andmeet andgreetsupon arrival.\n\nMaintains a proactive approach to problem solving and informational gathering,identifiesand recommends needed changes to Supply department.\n\nInteracts with others in a professional manner, whether by telephone, e-mail, or in-person.Operates personal tablets/computer andutilizessoftware programs, spreadsheets, databases, and perform report running, records search, data input, and data corrections.\n\nOther duties as assigned by Supply department management; outdoor work will berequiredin varying temperatures.\n\nRequiredEducation, Experience, Certificates and Licenses:\nBA/BS Degree in Logistics or Supply Chain Management or three years of equivalent experience working in any of the following fields: Inventory materials management, warehousing, cargo/transportation, supply chain or logistics or a minimum of two seasonsexperience working in the Transportation and Logistics (T&L) department or related areas in Antarctica.\n\nMinimum of two years’ supervisory experience.\n\nExpectedSkills and Competencies:\nIntermediate skills working within Microsoft Office Suite (primarily Excel,Wordand PowerPoint)\n\nStrong multi-tasking, organization, interpersonal, and customer service skills.\n\nExcellent attention to detail with high aptitude for detailed problem solving.\n\nSelf-motivated and high accountability; ability to make sound decisions with minimal supervision.\n\nPeople Organization:Helps assessskills and manages the training levels of new and returning personnel.Interpersonal, and customer service skills are necessary.\n\nConflict Management: Views conflict as an opportunity to find common ground and gain cooperation from all parties. Navigates ERP systemin order toretrieve data accurately and effectively.\n\nPreferred:\nBachelor’s degree preferred.\n\nWorking knowledge of materials movement,purchasing, inventory, and hazardous materials\n\nAdvanced skills in Microsoft Office including Excel,PowerPointand Outlook.\n\nIBM Maximo experience.\n\nKnowledge of SharePoint.\n\nStrong ability toclearly and efficiently communicatetofacilitateand disseminate information.\n\nPreviousdeployment to Antarcticaor experience with remote site Logistics and operations is highly desirable.\n\nFamiliarity with government supply systems and inventory accounting requirements is strongly preferred.\n\nPhysical and/or Other Requirements:\nWillingness and ability to deploy to Antarctica for extended periods\n\nSuccessful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica\n\nSuccessful completion of drug screening and background check required by employer\n\nSuccessful completion of Federal Background Check required by the NSF\n\nMust be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum as required by the position.\n\nMust be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold as required by the position.\n\nMustparticipatein community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts & safetyobjectives.\n\nValid Driver’s License issued in the United States\n\nNo clearancerequirementbut the contract and/or the site requires US Citizenship to be approved for access.
