This role involves managing the administrative, financial, and human resources functions of the practice while working closely with veterinarians and staff to maintain a positive, productive work environment. A strong focus on growth, operational excellence, and exceeding financial and operational goals are key to success in this role.\nKey Responsibilities:\nStaff Management:\nSupervise and lead all practice staff, including veterinary technicians, receptionists, and support staff. \nResponsible for staff recruitment, record-keeping, onboarding, training, and performance management. \nDevelop and optimize staff schedules that align with patient needs to ensure adequate coverage and remain within labor cost budgets. \nFoster a positive, collaborative work environment where everyone feels valued, supported, and empowered to do their best. \nActs as a champion for new initiatives by motivating the team to achieve desired goals. \nFinancial Management:\nOversee the practice’s financial operations, including budgeting, billing and expense management by regularly reviewing reports and developing action plans accordingly. \nCollaborate with key partners to set financial goals and ensure they’re achieved. \nEnsure accurate and timely billing and payments and monitor accounts receivables and collection processes. \nClient Relations:\nLead and coach the team to build meaningful connections with clients by providing exceptional customer service that exceeds their expectations. \nMonitor client reviews to address inquiries and feedback promptly and professionally. \nUtilize tools and quality controls to maintain a high standard of patient care and client communication. \nOperations Management:\nEnsure the smooth operation of daily activities, including inventory management, scheduling, office supplies, and equipment maintenance. \nImplement and refine practice policies and procedures to improve efficiency and effectiveness. \nMarketing, Business Development, and Community Relations\nExecute marketing strategies to attract new clients and retain current ones. \nOversee social media, website content, and other marketing materials. \nExpand the hospital’s presence in the community through events, promotions, and outreach programs. \nCompliance & Regulatory Adherence:\nEnsure compliance with all relevant veterinary regulatory agencies and health, safety, and labor laws are followed daily in practice. \nOversee the practice’s record-keeping and client/patient databases to ensure accuracy and confidentiality. \nEnsure the practice complies with OSHA requirements related to workplace safety, including the handling of hazardous materials and proper waste disposal. \nMaintain up-to-date knowledge of industry regulations and trends and implement necessary changes in practice procedures. \nTechnology & Software Management:\nTrain staff to effectively utilize practice technology and partner with the IT support team to triage and address needs within the practice. \nQualifications:\nMinimum of 3-5 years of experience in a managerial role, preferably in a veterinary practice or healthcare setting. \nCVPM, CVBL and/or a bachelor’s degree in healthcare administration or other relevant areas are preferred but not required. \nDemonstrated experience in P&L management and financial analysis is preferred. \nWorking Conditions:\nFull-time position with the possibility of evening and/or weekend hours based on the client and patient needs of the practice. \nMust be able to work in a fast-paced, dynamic environment. \nOccasional lifting and physical tasks may be required. \nAt AmeriVet, we’re committed to your growth, development, well-being, and success.
