In this vital role, you will provide coordination and administrative support to BBU leadership and cross-functional teams for assigned meetings, events, and business activities. You will carry out defined work using established processes, approved plans, and guidance from the event owner, project lead, or manager. You will escalate changes, exceptions, and decisions as appropriate within the role’s authority.\nKey Responsibilities:\nEvent and meeting coordination\nCoordinate logistics for summits, workshops, and internal or external events.\nAddress routine logistical issues and promptly escalate material changes, conflicts, or exceptions for direction.\nProject and business coordination\nMaintain project plans, timelines, action trackers, and documentation for assigned initiatives.\nRequest updates on agreed deliverables and compile status information for the project lead or business owner.\nFlag delays, missing information, and other issues; carry out follow-up actions agreed with the project lead.\nFollow established processes and share practical suggestions for improvement.\nRequired capabilities\nStrong organization, accuracy, follow-through, and service orientation.\nClear, professional communication and sound judgment about when to seek guidance.\nAbility to manage multiple assigned priorities and work effectively with leaders, colleagues, and vendors.\nTeam Support\nManage BBU leadership and departmental calendars, including scheduling across multiple time zones.\nProactively identify scheduling conflicts and recommend solutions.\nMeeting & Event Coordination\nPlan, organize, and execute internal and external meetings (virtual and in-person).\nCoordinate logistics including meeting rooms, catering, A/V setup, and visitor accommodations.\nSupport large-scale events, offsites, and training sessions.\nTravel & Expense Management\nCoordinate domestic and international travel arrangements (flights, hotels, transport).\nPrepare and submit expense reports in a timely and compliant manner.\nOperational & Process Support\nManage purchase orders, invoices, and expense-related processes.\nMaintain department files, databases, and documentation systems.\nEnsure compliance with internal policies and procedures.\nOrder office supplies and manage related purchasing activities through MyBuy or other approved systems, as needed. \nWin\nWhat we expect of you\nWe are all different, yet we all use our unique contributions to serve patients. The Project Coordinator we seek is a motivated professional with these qualifications.\nBasic Qualifications:\nAssociate’s degree and 2 years of Project Management experience; OR\n2 years in a technical school setting with hands-on experience; OR\nHigh school diploma / GED and 4 years of Project Management experience\nPreferred Qualifications:\nExperience providing administrative, project coordination, or operational support in a corporate environment.\nExperience supporting leaders and cross-functional teams, including calendar management, meeting coordination, and event planning.\nExperience coordinating domestic and international travel arrangements and processing expense reports.\nProficiency with Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, Teams) and collaboration tools.\nStrong organizational skills with the ability to manage multiple priorities in a fast-paced environment.\nThrive\nWhat you can expect from us\nAs we work to develop treatments that take care of others, we also work to care for your professional and personal growth and well-being.
