This role ensures timely and accurate invoice processing, proper approvals, budget verification, and compliance with accounting standards and grant regulations. The Accounts Payable Specialist maintains high standards of customer service and data integrity, in alignment with AmeriCorps guidelines and uniform guidance.\nResponsibilities\nAccounts Payable Processing & Compliance\nReview, code, and enter vendor invoices with proper documentation, approvals, and budget coding. \nPrepare and process payments (checks and ACH) on schedule; monitor due dates to avoid late fees. \nVerify expenditures meet grant guidelines and assist in tracking against program budgets. \nMaintain audit-ready documentation for all transactions and assist with audits and financial reviews. \nEnsure adherence to organizational accounting procedures, internal controls, and AmeriCorps grant policies. \nVendor & Internal Coordination\nMaintain accurate vendor records, including W-9s and contact information. \nRespond to vendor inquiries and resolve payment issues promptly. \nProcess and distribute year-end IRS Forms 1099 and 1096. \nCollaborate with program staff to secure approvals and budget codes; resolve discrepancies in documentation. \nSupport grant accountants with documentation for reimbursements and reporting. \nReporting, Reconciliation & Payroll Support\nAssist with monthly and year-end closings, including accounts payable aging and reconciliations. \nGenerate accounts payable reports for finance and program teams. \nRecommend and implement process improvements for efficiency and compliance. \nAssist with bi-weekly payroll processing and serve as backup support for payroll administration. \n\nQualifications\nMinimum Education\nAssociate degree in business or accounting, or equivalent work experience \nMinimum Experience\n3+ years of accounts payable or general accounting experience \nStrong written and verbal communication skills \nHigh attention to detail with accurate invoice processing and data entry \nProficiency in Microsoft Excel and experience with financial systems/databases \nAbility to research and resolve discrepancies independently \nAble to manage multiple priorities and deadlines \nPhysical Requirements\nAmpact is committed to compliance with the Americans with Disabilities Act and will make reasonable accommodations as possible to enable employees to perform the essential functions of their positions.\nThis position requires the ability to:\nTravel locally and statewide as needed to attend meetings \nCommunicate effectively with people/groups in multiple settings within and outside the organization \nEffectively utilize existing and emerging technology to achieve required results \nTransporting of moderately heavy objects up to 25 pounds \nBenefits\nAmpact offers an excellent benefit package including Medical, HSA, Dental, Vision, FSA, Life, Disability, PTO and 401(k).\nEEOC\nAmpact will not discriminate for or against any AmeriCorps service member or applicant on the basis of race, color, creed, national origin, gender, age, religion, sexual orientation, disability, gender identity or expression, political affiliation, marital or parental status, familial status, military service, or any other category protected by law.
