This role serves as a central point of coordination for the Marketing & Communications team, helping ensure projects, campaigns, promotions, and departmental priorities move efficiently from concept to completion.\nThe ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced environment with multiple competing priorities. This individual excels at keeping projects on track, coordinating stakeholders, and ensuring nothing falls through the cracks.\nReporting to the Director of Marketing & Communications, the Marketing Coordinator will play a key role in supporting marketing operations, campaign execution, vendor coordination, reporting, and process improvement initiatives.\nGeneral Summary of Position\nThe Marketing Coordinator is responsible for coordinating day-to-day marketing activities and supporting the successful execution of marketing programs. This position serves as the operational hub of the marketing department, helping manage timelines, track deliverables, maintain documentation, coordinate vendors, and facilitate communication across teams.\nSuccess in this role requires exceptional organizational skills, strong attention to detail, and the ability to manage multiple projects simultaneously while maintaining a high level of accuracy and accountability.\nEssential Functions and Responsibilities\nProject Coordination & Workflow Management\nCoordinate marketing projects from initiation through completion.\nDevelop and maintain project timelines, schedules, and task lists.\nMonitor project progress and proactively follow up on outstanding deliverables.\nFacilitate communication between marketing, sales, operations, customer care, finance, and external partners.\nIdentify project risks, bottlenecks, and competing priorities and elevate concerns as needed.\nMaintain visibility into project status and upcoming deadlines.\nCampaign & Promotion Support\nSupport the execution of marketing campaigns, promotions, contests, events, and customer engagement initiatives.\nCoordinate campaign deliverables and ensure all required approvals are obtained.\nMaintain promotional calendars and deployment schedules.\nAssist with campaign setup, tracking, and post-campaign reporting.\nEnsure marketing initiatives launch on time and according to plan.\nVendor & Agency Coordination\nServe as a primary point of contact for marketing vendors, freelancers, and external partners.\nCoordinate project requests, timelines, feedback, revisions, and approvals.\nTrack outstanding deliverables and ensure deadlines are met.\nAssist with vendor onboarding, invoice processing, and budget tracking.\nMarketing Operations\nMaintain marketing calendars, project trackers, and departmental documentation.\nOrganize and maintain marketing files, assets, and records.\nHelp create efficient workflows and identify opportunities for continuous process improvement.\nSupport departmental planning and prioritization efforts.\nReporting & Administrative Support\nCompile marketing data and assist with performance reporting.\nPrepare recurring reports, dashboards, and project status updates.\nAssist with budget tracking and expense management.\nCoordinate meeting agendas, action item tracking, and follow-up activities.\nSupport special projects and department initiatives as assigned\nCompetencies\nExceptional organizational and project coordination skills\nStrong follow-through and accountability\nAttention to detail and commitment to accuracy\nExcellent written and verbal communication skills\nAbility to manage multiple priorities simultaneously\nCritical thinking and problem-solving abilities\nStrong interpersonal and relationship-building skills\nAbility to work independently while collaborating across departments\nAdaptability and willingness to support changing business needs\nQUALIFICATIONS - Knowledge, Skills & Abilities\nEducation\nBachelor's degree in Marketing, Communications, Business Administration, or a related field preferred.\nLicenses/Certifications\nYears of Experience\n5-7 years of marketing, project coordination, or related experience preferred.\nExperience supporting multiple projects and stakeholders simultaneously.\nExperience working in a fast-paced, deadline-driven environment.\nRequired Skills & Abilities\nStrong proficiency in Microsoft Office Suite.\nExcellent organizational and time-management skills.\nAbility to manage competing priorities and meet deadlines.\nStrong analytical and problem-solving skills.\nExperience working with project management platforms preferred.\nAbility to communicate effectively with internal and external stakeholders.\nDemonstrated ability to take initiative and drive projects forward\nTravel Requirements\nAs Needed\nOther Requirements\nMust be able to work collaboratively in a fast-paced team environment and demonstrate initiative.\nPHYSICAL REQUIREMENTS\nPrimarily sedentary work performed in an office environment\nAbility to communicate promptly and clearly via phone and computer\nACKNOWLEDGEMENT\nPosition duties and expectations change over time.
