As the first point of contact for many clients, you'll play an important role in ensuring individuals receive timely, professional and compassionate support.\nThis is a fast-paced and varied role that requires strong administration skills, attention to detail and the ability to build positive relationships with a broad range of stakeholders.\nKey Responsibilities\nAct as the first point of contact for clients and stakeholders\nManage a high-volume inbox and the 1300 wellbeing line\nCoordinate new client referrals, onboarding and outreach activities\nSchedule individual and group wellbeing appointments\nMaintain accurate client records and reporting\nSupport project coordination and program delivery activities\nManage booking changes and clinician rescheduling requirements\nProvide contract administration support and process additional sessions\nTroubleshoot and escalate service-related queries\nSupport continuous improvement initiatives across the team\nWhat We're Looking For\nWe're looking for someone who understands that exceptional service delivery comes from a combination of strong operational capability, outstanding customer care and genuine care for people.\nYou will be warm, approachable and solutions-focused, with the ability to build trust and communicate confidently in sensitive situations.\nSkills & Experience\nMinimum 3 years' experience in an administration or coordination role\nExcellent customer service and communication skills\nStrong organisational skills and the ability to manage competing priorities\nOutstanding attention to detail\nHigh emotional intelligence and strong relationship-building skills\nConfidence communicating sensitive information in a professional and empathetic manner\nThe ability to remain calm and effective in a high-volume environment\nStrong Microsoft Office skills and experience using booking or scheduling systems\nExperience within healthcare, wellbeing, allied health or specialist practice
