Because at Arclin, our people are truly Vital Beyond Measure.\nPosition Summary:\nThe Trademark & Licensing Coordinator supports the day-to-day administration of the company's trademark licensing program, trademark portfolio activities, and related marketing communications initiatives. This role serves as a key operational resource for licensing, brand governance, contract administration, trademark maintenance activities, and cross-functional projects.\nAbout the Role\nWorking closely with the Trademark & Licensing Manager, Legal, Marketing, Sales, and external licensees, the Coordinator helps ensure compliance with trademark license agreements, supports brand protection efforts, and maintains the tools, records, and processes that enable effective trademark and licensing management.\nThis position is ideal for an early-career professional seeking to build experience in trademark licensing, brand management, contract administration, intellectual property support, and marketing operations.\nJob Responsibilities:\nLicensing Program Administration\nSupport administration of consumer and business-to-business trademark licensing programs.\nAssist with trademark license agreement (TMLA) preparation using approved templates and established processes.\nMaintain licensing records, databases, trackers, and documentation to ensure accurate and audit-ready files.\nCoordinate agreement execution, routing, approvals, signatures, and document storage.\nTrack renewal dates and contract milestones and support renewal activities across licensing agreements.\nAssist with onboarding new licensees and providing access to licensing tools, portals, and resources.\nContract Compliance & Royalty Management\nMonitor compliance with trademark license agreement requirements.\nCollect and maintain insurance certificates and other required documentation from licensees.\nSupport royalty administration activities, including coordinating reporting, tracking submissions, and assisting with collection efforts.\nMaintain contract compliance records and identify potential gaps requiring follow-up.\nAssist in ensuring licensees adhere to approved trademark usage requirements and contractual obligations.\nBrand Usage & Governance\nSupport reviews of trademark and brand usage materials to help ensure compliance with licensing agreements, brand guidelines, and approved trademark use standards.\nCoordinate collection and routing of product, marketing, and promotional materials submitted for review.\nAssist internal teams with questions regarding trademark use, licensing processes, and brand requirements.\nHelp promote consistent trademark and brand governance practices across sales, marketing, and other stakeholder groups.\nTrademark & Brand Protection Support\nSupport trademark maintenance activities by collecting evidence of trademark use and other documentation required for trademark renewals and legal filings.\nAssist the Trademark Paralegal and Legal team with trademark portfolio administration and recordkeeping.\nMaintain trademark-related files, trackers, and supporting documentation.\nSupport brand protection and monitoring initiatives as needed.\nLicensee & Program Support\nServe as the primary contact for a portfolio of smaller consumer licensing accounts.\nManage day-to-day communication regarding reporting requirements, documentation requests, and program participation.\nCoordinate administration of the company's hangtag program, including ordering, inventory management, and licensee support.\nSupport licensing-related vendors and process purchase orders and invoices.\nProject & Marketing Communications Support\nAssist with licensing system enhancements, process improvement initiatives, and special projects.\nSupport implementation and maintenance of licensing-related tools and platforms, including CRM and contract management initiatives.\nIdentify opportunities to improve efficiency, documentation, reporting, and licensing processes.\nQualifications:\nBachelor’s degree in business, Marketing, Communications, Legal Studies, Paralegal Studies, or a related field preferred.\nExperience:\n1-3 years of experience in contract administration, licensing, intellectual property support, legal administration, marketing operations, brand management, or a related field.\nInternship or professional experience supporting contracts, trademarks, licensing, or compliance activities is a plus.\nKnowledge, Skills & Abilities\nStrong attention to detail and organizational skills.\nAbility to manage multiple projects and deadlines simultaneously.\nStrong written and verbal communication skills.\nAbility to work effectively with cross-functional teams and external partners.\nProficiency with Microsoft Office and document management systems.\nExperience with contract administration, licensing management platforms, CRM systems, or workflow tools is preferred.\nInterest in trademarks, intellectual property, brand management, and licensing.\nAbility to maintain confidentiality and handle sensitive information professionally.\nTravel Requirements:\nLimited
