We offer exemplary construction and maintenance services in the power utility sector across Canada and operate out of offices located in Abbotsford, Surrey, Cranbrook, Sparwood, Fort St. John, Prince George and Terrace, British Columbia as well as Calgary, Alberta.\nAs we continue to grow, Arctic Arrow is offering this exciting opportunity for an Accounts Receivables Clerk to work as part of our Finance team.\nPosition Overview\nReporting to the Controller, this position is responsible for processing account receivables invoices and their collection in a timely and efficient manner.\nRequirements\nKEY RESPONSIBILITIES\n Billing & Invoicing\nWork closely with Project Managers, Operations, and Payroll to obtain timesheets, equipment logs, quotes, and contracts for billing.\nEnsure all costs are billed as applicable in relation to job costing.\nPrepare and issue accurate customer invoices, including progress billings, change orders, and equitable adjustments signed off by customers.\nCreate LEMs (Labour, Equipment, Material) billing backup sheets via excel, mJob Time or other software.\nEnter and attach invoices in Spectrum (ERP) software.\nSubmit invoices through client portals as required.\nTrack and release holdbacks according to contract and lien legislation timelines.\nAdhere to month end deadlines.\nCollections & Customer Service\nRespond to customer billing inquiries and resolve discrepancies promptly and professionally.\nMonitor aging reports, make collection calls, and communicate collection status.\nEscalate delinquent accounts and recommend collection actions or credit holds.\nAdministration & Compliance\nSet up new customers and maintain the customer master file.\nEnsure GST/PST and other taxes are correctly applied on invoices.\nMaintain organized filing of billing records, contracts, and correspondence.\nOther duties as required, including reception back up as needed.\nSKILL SET\nExcellent customer service attitude and skills.\nExcellent written and verbal communications skills.\nHigh degree of accuracy, attention to detail and confidentiality. \nIntermediate knowledge of Word, Excel, Outlook and Adobe.\nAbility to shift priorities and reach varying deadlines.\nStrong “can do” attitude and approach to responsibilities.\nAbility to work independently and with all levels of staff within the company.\nQUALIFICATIONS\nDiploma in Accounting or comparable accounting experience.\n3+ years’ experience in a similar role and high volume (data entry/invoicing) environment.\n3+ years’ experience in the construction/utility industry or project-based company, asset.\nExperience with the following types of Billing: Progress, Fixed Price/Percentage of Completion, Time and Material, Unit Price, and Holdbacks.\nWorking knowledge of Open Invoice, Cortex, Ariba, Taulia, Field Glass - online submission portals.\nEducation and/or Training in document controls, asset.\nPrior experience with SharePoint and Spectrum, asset.\nBenefits\n$55,000.00 - $58,000.00 annually (40 hours per week, in office)\n Please note that due to the high volume of applicants, only those under consideration will be contacted.
