Payroll Specialist

This pivotal role within our EMEA Finance Operations ensures payroll accuracy, compliance, and control, which are critical to maintaining employee trust and financial integrity. As a Payroll Officer, you will manage payroll delivery across multiple EMEA jurisdictions using our ADP platform and Employer of Record providers. What You'll Do

• Manage end-to-end EMEA payroll processing through ADP and EOR providers, ensuring accuracy, compliance, confidentiality, and timely delivery across all in-scope countries.
• Act as the main liaison for payroll and organizations serving as the employer of record.
• Oversee payroll inputs, cut-off schedules, and statutory filings. Address issues to guarantee smooth service delivery.
• Process payroll changes including new hires, terminations, salary adjustments, bonuses, allowances, benefits, and contract amendments, ensuring all inputs are validated before submission to ADP/EORs.
• Validate payroll data sourced from Workday and other internal platforms; perform monthly payroll checks, variance analysis, gross-to-net reconciliations, and pre/post-payroll audits.
• Review and approve payroll outputs from ADP and EORs, including payslips, statutory reports, and funding files, ensuring accuracy prior to pay date.
• Reconcile payroll-related GL accounts and partner with Finance on month-end close, accruals, and payroll-related journal entries.
• Prepare payroll reports, analytical reviews, and supporting documentation for Payroll Management, internal/external audits, and compliance reviews.
• Analyze payroll trends, headcount movements, and cost variances to support operational reviews and management reporting.
• Supervise EOR invoices and service performance, ensuring alignment with contractual SLAs and internal controls.
• Contribute to global payroll transformation initiatives, including automation, system improvements, vendor consolidation, and process standardization.
• Partner closely with HR, People & Culture, Finance, Treasury, Tax, and external providers to ensure a unified and compliant payroll operation.
• Maintain up-to-date knowledge of statutory and regulatory changes across EMEA jurisdictions and ensure timely implementation with ADP/EOR partners.

What We're Looking For

• 5+ years of payroll experience across EMEA countries, including delivery via ADP and/or EOR providers.
• Solid understanding of EMEA payroll regulations, taxation, social security, and statutory compliance requirements.
• Local professional payroll qualification.
• Hands-on experience with ADP payroll platforms (e.g., ADP Celergo, ADP GlobalView, or ADP Streamline) is required; Workday HCM experience is a strong advantage.
• Demonstrated experience managing third-party payroll vendors and EOR relationships, including SLA oversight and addressing customer concerns.
• Advanced Excel skills, including formulas, pivot tables, data analysis, reconciliations, and payroll reporting.
• Meticulous attention to detail with strong organizational and problem-solving skills.
• Meet strict payroll deadlines, and prioritize tasks effectively.
• High level of integrity and confidentiality in handling sensitive payroll and employee data.
• Strong written and verbal communication skills in English and Polish.
• Hybrid working model - currently 3 days per week in the office.
