Overview

A unique opportunity at thecentreof executive leadership - In this trusted, highly visible role, you will provide direct administrative and professional support to the President and Chief Executive Officer of AtkinsRéalis, helping manage priorities, calendarcommitmentsand travel. You will playan important rolein supporting effective interactions with the Executive Committee, the Board ofDirectorsand key internal and external stakeholders.

You are comfortable in a fast-paced, demanding and changing environment, and you bring structure, calm,professionalismand strong prioritization skills.

A key role within a close executive office team - You will work closely with the Coordinator and the Chief of Staff to the President and Chief Executive Officer. You will also interact regularly with members of the Executive Committee and their teams to ensure calendars and priorities are managed in a seamless,efficientand aligned manner.

Your role

As a member of the Corporate Functions team, you will report to the President and Chief Executive Officer’s Chief of Staff. You willbe responsible for:

  • Coordinate meetings for the President and Chief Executive Officer, including Executive Committee and Board of Directors meetings;

  • Gather, organize and prepare materials required for meetings and presentations, including PowerPoint documents;

  • Prepare, update and format reports, letters, memoranda and other correspondence using corporate templates as required;

  • Maintain and follow up on confidential files with rigor and discretion;

  • Keep contact lists and related information up to date, as required;

  • Prepare expense reports and certain financial reports;

  • Follow up on invoice payments and budget entries;

  • Coordinate travel arrangements for the President and Chief Executive Officer;

  • Manage registrations and participation in various panels, events and conferences;

  • Perform other related administrative tasks to effectively support the Office of the President and Chief Executive Officer.

About you

  • Strong commitment to confidentiality and ability to handle sensitive documents, discussions and situations;

  • Self-motivated, discreet, detail-oriented, proactive and highly organized;

  • Minimum of 15 years of experience in a corporate environment, including significant experience supporting senior executives;

  • Excellent organizational skills, strong priority management and a high degree of autonomy;

  • Collaborative mindset, positive attitude and ability to build trusted relationships;

  • High adaptability and ease in managing multiple priorities at the same time;

  • Ability to work under pressure with minimal supervision while maintaining a high standard of quality;

  • Flexibility and availability to respond to last-minute priorities outside regular working hours, as well as special projects;

  • Excellent proficiency in French and English, as the role requires interaction with stakeholders across Canada and internationally;

  • Knowledge of government authorities and various ministries is an asset;

  • While AtkinsRéalis values flexibility and hybrid work, presence in the office is required when the President and Chief Executive Officer is in the office.
