Coordinator, Operations (NYC hybrid)

Overview

As part of the Publishing Operations team, the Coordinator, Operations supports the accuracy and flow of important publishing operations data, including contract, payment, author, payee, and vendor information. This role is a great fit for someone who enjoys working with details, learning business systems, and helping teams stay organized and accurate.

In this role, you will work across systems such as Biblio, JDE, Klopotek, and related title management and financial systems, while partnering with teams including Finance, Contracts Operations, Royalty Accounting, Managing Editorial, and Audio. You do not need to be an expert in these systems on day one-we are looking for someone who is organized, curious, dependable, and eager to build strong operational skills.

Responsibilities

• Maintain and update contract, payment, author, payee, and vendor information across title management and financial systems.
• Support payment-related processes by reviewing data, updating schedules, and helping ensure information is accurate before payments are released.
• Research and resolve basic data issues, such as duplicate records, missing information, or inconsistent details across systems.
• Partner with Finance, Contracts Operations, Royalty Accounting, Managing Editorial, and Audio teams to answer questions and support day-to-day operational needs.
• Assist with data cleanup, reconciliation, and special projects that help improve process consistency, reporting accessibility, and system accuracy.
• Assess current workflows and suggest automation solutions to improve efficiency.

Qualifications

• 2+ years of experience in publishing operations, finance operations, data entry, administrative support, or a related role.
• Strong attention to detail and a commitment to accuracy.
• Comfort working with spreadsheets and learning new systems.
• Good organizational skills and the ability to manage routine tasks and follow established processes.
• Clear written communication and a collaborative, service-oriented approach.
• Curiosity, dependability, and a willingness to learn contract, payment, royalty, and vendor processes over time.
• Strong communication skills, exceptional attention to detail, and a collaborative mindset. This role is ideal for someone who enjoys solving problems with teams, working with data, and driving operational excellence through continuous improvement

The salary for this position is $55,000. We recognize that attracting the best talent is key to our strategy and success as a company. The quoted salary range represents our good faith estimate as to what our ideal candidates are likely to expect, and we tailor our offers within the range based on the selected candidate's experience, industry knowledge, technical and communication skills, and other factors that may prove relevant during the interview process.
