About Austin Sensing Company
Austin Sensing Company builds radar, acoustic, and RF sensors for defense, public safety, critical infrastructure, and autonomous systems. We design and manufacture our hardware in Austin, Texas, with a focus on making high-performance sensing reliable, affordable, and widely available.
About the Role
We’re hiring an Operations Assistant to work directly with our CEO and CTO and keep the daily operations of our Austin office and factory running smoothly. You’ll manage schedules, coordinate travel, and work closely with our deployment engineers to prepare for installations and demonstrations at customer locations, military bases, and other field sites.
Deployment support is a central part of this role. You’ll work with all of our deployment teams to make sure travel is booked, equipment logistics are coordinated, site requirements are confirmed, and plans are clear before they leave. You’ll stay involved while they’re in the field, helping resolve schedule changes and logistical issues across time zones.
This role combines executive support with responsibility for facilities and team operations. We’re looking for someone organized, resourceful, and comfortable taking ownership without needing detailed instructions for every task.
Availability expectations: We have multiple deployment teams and other team members traveling across time zones weekly. This role requires being reachable by phone and ready to assist 24/7 when urgent travel or deployment issues arise, including nights and weekends.
What You’ll Do
Manage calendars and scheduling for the CEO and CTO, protecting time for priority work and coordinating internal and external meetings.
Work with our deployment engineers to prepare for customer installations, demonstrations, and field visits at military bases, public safety agencies, and critical infrastructure sites.
Book and manage flights, hotels, ground transportation, and itineraries for the founders and deployment engineers, including international travel and last-minute changes.
Coordinate pre-deployment logistics, including customer schedules, site contacts, access requirements, equipment shipments, and arrival times.
Maintain deployment schedules and checklists so each engineer knows where they need to be, what needs to arrive, and what must be completed before departure.
Remain reachable by phone for urgent founder and deployment needs, including after-hours travel changes and logistical issues.
Own day-to-day office and factory operations, including facilities needs, supplies, meals, maintenance, and vendor coordination.
Work with the manufacturing lead to keep the factory organized, equipped, and ready for daily operations.
Manage relationships with service providers and contractors. Track commitments and follow through until issues are resolved.
Support new employee onboarding by coordinating workspace setup, equipment, access, and first-day logistics.
Organize customer visits, team events, and meetings at our Austin facility.
Track action items and deadlines for the founders, following up across the team to keep commitments on schedule.
Build practical systems for recurring tasks, deployment preparation, travel, and facilities requests as the company grows.
What You’ll Bring
5+ years of experience in executive support, business operations, logistics, office management, or a similar role with broad responsibility.
Experience managing busy calendars and coordinating travel for multiple people, destinations, and changing schedules.
The ability to plan ahead, identify missing details, and confirm arrangements before engineers leave for the field.
Willingness and ability to remain reachable by phone outside standard working hours and respond to urgent issues.
Strong judgment about priorities and when to make a decision or bring an issue to the founders.
Clear communication and consistent follow-through with teammates, customers, and vendors.
The ability to manage several moving pieces without losing track of details.
Comfort working with vendors, comparing quotes, and resolving service issues.
