They handle administrative and clerical tasks directly on-site, ensuring accurate documentation and efficient communication between teams. May assist with document control, order entry, customer support and inventory management procedures.Key Responsibilities and Duties\nCollects information to prepare location documents in the direction of Austin Powder policies and procedures.\nDrafts location documents and distributes as directed.\nPrepares vendor invoices for approval and ensures invoices are forwarded to Cleveland Corporate office in a timely manner.\nMaintains and files all location documentation.\nPost orders into the computer system. Creates new vendor accounts as required. Creates and/or maintains LINUS system reports.\nAnswers and directs phone calls courteously and directs to the appropriate individual(s) in a timely manner.\nDate stamp and distributes daily incoming mail. Prepares and sends outgoing mail.\nAssists in the dispatch of employees and vehicles to customer accounts, as directed by management.\nMaintains inspection and maintenance files on all location assets.\nPromptly reports employee, customer issues or public concerns to Location Manager.\nDevelops and maintains positive work relationship with co-workers, customer, vendors, and government agencies.\nDisplays work behaviors that are honest and ethical in pursuit of Austin Powder’s business goals.\nMaintains all Location documentation in compliance with federal, state, local and Austin Powder Company guidelines.\nComplies with Austin Powder Company inventory management procedures.\nMaintains a safe and healthy work environment by complying with all federal, state, local regulations, and Austin Powder Company policies.\nEducation and Experience \nHigh school diploma or GED equivalent\n1-3 years general office experience.\nSkills, Knowledge, and Abilities\nAccurate keying and filing skills.\nAbility to perform basic mathematical operations.\nAbility to use Microsoft Word and Excel software programs.\nAbility to speak effectively with employees and customers.\nAbility to write clearly and legibly.\nAbility to lift up to 25lbs\nProfessional and courteous customer service telephone skills.\nAbility to work well alone as well as in a team environment.\nMust possess upon hire or acquire within 90 days of hire working knowledge of APC’s business operating system.
