The invoicing is specialized, and training will be provided, but solid hands-on invoicing experience is required to step in quickly. This is not an entry-level role.\nJob Duties\nPrepare and process client invoices in coordination with project managers and the finance team\nReview, reconcile, and process company credit card receipts and employee expense reports\nReview and verify subconsultant invoices for accuracy, contract compliance, and proper documentation\nPrepare, distribute, and manage contracts for various services\nEnhance and maintain electronic filing systems for contracts, invoices, and administrative records\nManage and maintain the company’s internal administrative platform, ensuring data accuracy and proper use\nMaintain organized paper and electronic records, compile reports, and manage spreadsheets and databases\nCoordinate workflow with other administrative staff and disciplines to ensure smooth operations\nRespond to general business inquiries and perform additional administrative support duties as assigned\nQualifications\n Education & Experience\n2+ years of hands-on invoicing or billing experience (preparing and issuing invoices, not only collections or payment posting) \nExperience with detail-heavy billing, such as project-based, hourly, or contract-based invoicing, or billing that requires supporting documentation \nStrong Excel skills (lookups, pivot tables, reconciling data) \nNotary preferred but not required\nSkills\nGood communication skills with the capability to effectively interact with internal and external stakeholders at all levels\nStrong written and verbal communication skills\nDetail oriented and self-starter;
