This position is responsible for ensuring equipment reaches the correct destination on time while minimizing costs and maintaining operational efficiency. Key responsibilities include transportation coordination and direct carrier booking, vendor management, inventory oversight, and collaboration with purchasing, sales, finance, and project teams. The ideal candidate will possess strong organizational skills, attention to detail, sound financial judgment, and the ability to work independently or collaboratively in a fast-paced environment.\nEssential Duties and Responsibilities\nCoordinate the end-to-end daily inbound/outbound logistics operations for AV equipment, including Transportation (Linehaul/first/last mile/White Glove, TL and LTL, Parcel, Ocean Imports, and Air Freight), scheduling, RMAs processes, and tracking of equipment between warehouses and to client sites. \nCollaborate with internal teams, including sales, operations, and technical support, to understand client requirements on a shipment per shipment basis.\nPrepare and manage delivery schedules, ensuring optimized routing/consolidations and timely delivery of equipment to multiple locations with approved carriers and agents.\nMay require manual BOL entry and tender, or booking through approved vendor TMS/websites. Confirm pieces, weight, and dimensions of all shipments.\nVerify site contact details and keep local offices apprised of ETAs and Exceptions\nMake pre-calls to pick up or delivery location personnel to confirm schedule, notify of, or receive, changes and or updates pre pickup and/or pre delivery, to discuss site surveys, convey order updates and receive final instructions.\nBe an escalation point for transportation vendors and customers. Document operational issues/exceptions with carriers/agents in real time to ensure minimal disruption to client services.\nEnsure proper BOL notation of Overage, shortage or damage (OS&D) exceptions and gather all necessary data for the filing of freight claims.\nVerify transportation quotes are in line with vendor rate agreements/tariffs.\nNegotiate spot rates when needed with transportation vendors within a predefined limit and monitor compliance with service level agreements. \nAudit transportation vendor invoices with correct GL coding for AP including correct pro rating of multiple jobs in the case of consolidated truckloads or airway bills.\nEnsure all transportation vendor invoices are supported by hard copy POD (Proof of Delivery)\nResponsible for following documents control processes and procedures to retain BOLs, PODs, Pre shipment digital photos of freight, Loaded digital photos of freight, and digital photos of freight upon delivery to site.\nIdentify areas for process improvement and recommend streamlined logistics procedures to enhance operational efficiency.\nStay updated on industry trends, regulations, and best practices related to logistics and supply chain management in the AV equipment industry.\nOther duties assigned as assigned by Senior Logistics Coordinators and Management.\nSkills and Abilities\nDemonstrated ability to manage and optimize supply chain and transport processes.\nExcellent organizational skills with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.\nExcellent organizational and communication skills to effectively liaise between various departments.\nProficiency in logistics software and reporting tools.\nExceptional attention to detail and accuracy in maintaining and managing logistics documentation.\nStrong analytical and problem-solving skills, solutions oriented.\nAbility to adapt to a fast-paced, dynamic work environment and navigate through ambiguity.\nAdvanced data entry and organizational skills \nIntermediate PC skills and working knowledge of Office Suite (Excel, Word)\nFluent in English\nEducation and/or Experience\nBachelor's degree in business administration, logistics, supply chain management, or a related field, or Equivalent work experience.\nProven experience (3+ years) in transportation/logistics coordination of high tech/high value freight across multiple locations.\nStrong knowledge of logistics and supply chain management principles and best practices.\nFamiliarity with DOT, FMCSA and TSA regulations and requirements\nProficiency in using logistics management software and tools to track shipments and inventory (e.g., ERP systems, warehouse management systems, TMS).\nFamiliarity with AV equipment, including audio systems, video projectors, lighting equipment, and other related technology is a plus.\nWorking Environment\nThe work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
