Solid contracts set the terms, expectations, and guardrails that let our teams do great, uninterrupted work. As Avicado grows, the Contracts Specialist is one of the key support pillars that keeps that backbone strong. You keep our contracts reviewed, signed on terms we can stand behind, easy to find, and easy to understand, so Finance, our consultants, Sales, and leadership can do their work with confidence.\nCore Responsibilities\nContract Review and Risk Screening\nAct as the first-line reviewer for contracts, amendments, and RFPs from Sales and internal teams, including client, partner, vendor, and IT agreements.\nIdentify the terms that carry real risk, say what each could cost us, and recommend how to respond, including redlines within our standard positions.\nCoordinate redlines and approvals between Sales and leadership, and elevate terms outside our standard positions, so every contract has a clear status and a clear next step.\nSupport internal teams with risk questions on software and IT agreements and client security questionnaires.\nOwn the insurance requirements in contracts: be the first stop for internal questions, coordinate the annual insurance renewal with our broker, and back up the Biz Ops Coordinator on certificate of insurance (COI) requests.\nContracts Database and Lifecycle\nBuild and maintain the central Contracts Database. A contract is not done until it is stored with its key dates, terms, and obligations.\nKeep the data accurate and complete: check entries regularly, fix errors at the source, and document how entries are made so teammates can add to the database correctly.\nRecord renewal, notice, and termination terms when a contract is stored, so Sales, who own renewals, know the terms, the paper the contract is on, and whether anything new needs to be put in place.\nOwn the termination process: when Directors or Sales decide to end an agreement, review the contract if its terms are not already in the database, define how it gets terminated, and hold the team accountable for the steps.\nGrow what the database captures over time so the team can answer questions about terms and obligations without reopening the contract, and so leadership can see risk in aggregate across all of our contracts.\nTemplates\nOwn our contract templates: decide what goes into them, get our Legal team's feedback, and update the templates once a change is approved.\nMaintain the template change request process so every request gets a clear answer and the requester can see its status.\nKeep one current version of each template in one place, and make sure out-of-date copies are not in use.\nWork with Sales so they understand which terms carry little risk and can be adjusted, and which carry operational or business risk and should not change without review.\nIdentify template gaps and get them closed.\nIdeal Background\nShould have\nHands-on experience reviewing professional services agreements, such as MSAs, SOWs, and change orders, ideally in a consulting or implementation environment.\nWorking knowledge of common risk terms: indemnification, limitation of liability, SLAs, data and privacy, and insurance requirements.\nExperience building or maintaining a contract repository or tracker and keeping it accurate over time, not only using one.\nExperience carrying a template or process change through to adoption across teams that do not report to you.\nA calculated view of risk: you size it, recommend a response, and let decision-makers weigh it against the value of the deal, rather than treating risk as something to avoid or forwarding every contract to counsel.\nExperience working with an outside law firm or in-house counsel.\nComfort working in lower-tech setups (SharePoint, spreadsheets, Salesforce), not only e-signature platforms, and embracing new tools such as AI.\nPreferred\nExperience with public sector contracts and RFPs.\nExperience with prime agreements and the terms that flow down from them, such as procurement codes and subcontracting commitments.
