This position works closely with the Family Medicine Clinical Manager, Clinic Supervisor I- People & Performance, Medical Assistant Leads, and clinical staff to ensure the MA team is appropriately staffed, organized, and supported. The Family Medicine Clinical Supervisor -MA Operations and Workflow maintains a working knowledge of employee performance processes and provides people-management coverage when the Clinic Supervisor - People & Performance is unavailable.\nEssential Functions:\nProvides day-to-day operational oversight of the Family Medicine Medical Assistant team.\nMonitors MA staffing, workload, assignments, and daily operational needs and coordinates with MA Leads to ensure appropriate coverage.\nCoordinates daily MA assignments and assists with coverage for call-outs, planned absences, and unexpected staffing changes.\nMonitors staffing levels and workload distribution and identifies recurring staffing challenges and recommended solutions.\nMaintains and evaluates workflows specific to Medical Assistant responsibilities and ensures established MA workflows are consistently followed.\nIdentifies opportunities to improve efficiency, consistency, patient service, and use of staff resources within MA processes.\nWorks with MA Leads and staff to implement workflow changes and monitors the effectiveness of those changes.\nMonitors the MA component of daily clinic flow and identifies delays, bottlenecks, or barriers within MA responsibilities.\nAddresses issues affecting rooming, patient preparation, vital signs, point-of-care testing, documentation, and other MA functions.\nCoordinates with appropriate clinical staff when an immediate MA operational issue requires resolution and escalates significant or recurring concerns to the Family Medicine Clinical Manager.\nMonitors MA productivity and workload distribution and identifies opportunities to improve efficiency.\nSupports appropriate distribution of work among Medical Assistants and recommends operational improvements to leadership.\nProvides day-to-day operational guidance to MA Leads and establishes clear expectations regarding staffing, workflow, communication, and daily operations.\nCoaches and mentors MA Leads in their operational responsibilities and delegates appropriate responsibilities to Leads.\nMonitors availability of supplies and equipment necessary for MA operations and works with MA Leads to maintain appropriate stocking and organization of clinical areas.\nSupports quality improvement initiatives related to MA responsibilities and monitors compliance with established MA processes.\nAssists with implementation of new MA processes and workflows and participates in process improvement initiatives as assigned.\nPartners with the MA Training Team regarding workflow and competency needs and identifies areas where additional education may be needed.\nWorks closely with the Clinic Supervisor - People & Performance to ensure operational and employee needs are aligned.\nCommunicates employee performance concerns identified through daily operations and provides operational input for employee coaching and development.\nMaintains sufficient knowledge of employee performance processes, attendance expectations, coaching practices, and supervisory responsibilities to provide people-management coverage when the People & Performance Supervisor is absent.\nWhen providing cross-coverage, assumes necessary people-management responsibilities, addresses immediate employee concerns, monitors attendance concerns, and communicates significant employee relations matters to the Family Medicine Clinical Manager.\nCommunicates significant staffing, workflow, productivity, quality, and resource concerns to the Family Medicine Clinical Manager.\nProtects confidential client information and only shares information in a manner consistent with current law.\nQualifications:\nHigh school diploma or equivalent required.\nCurrent Certified Medical Assistant (CMA) certification required.\nCurrent Oregon Driver’s License with clean motor vehicle record required.\nMinimum of 3 years of Medical Assistant experience, preferably in a primary care or family medicine setting.\nPrevious leadership, supervisory, or lead experience preferred.\nDemonstrated knowledge of clinical workflows, patient care standards, and Medical Assistant responsibilities.\nReady to join our team?
