As the link between executive management and the teams, you will help prioritize and drive strategic projects while ensuring compliance with budgets and the FTE plan. You will play a central role in optimizing operations, driving organizational priorities, and enhancing the overall effectiveness of the Operations Management team.\nWhat you’ll be doing:\nExecutive support\nAnticipate needs from the head of Operations: ensuring that content for all meetings are prepared, briefs communications drafted, priorities hierarchized and managed, documents stored and archived\nCo-ordinate and manage the governance of the Operations team including preparation of agendas, presentations, recording and follow up of actions, track and monitor delivery of goals, cascade information, co-ordinate information requests and other support required\nEnsure that meetings are efficiently run in content, timing and output\nIn conjunction with the Leadership team, prepare strategic or operational notes and presentations for various audiences: functional SLT, anticipate and review documents presented at AXA Partners Protection Executive Committee; collaborate closely with teams on topics of shared interest to ensure effective preparation of meetings and presentation material\nEnsure that decisions taken are followed up and implemented effectively and that all stakeholders are kept informed of decisions and actions in a timely manner\nRegularly provide insights on ways to clarify the governance and improve the efficiency of the function\nRepresent the Head of Function in meetings as necessary\n Communication\nBuild and deliver the Operations communication plan in collaboration with Leaders and other key stakeholders such as Global HRBP, Transformation and Change teams, communication teams, local management and champions\nSupport the head of Operations in communicating through multiple channels with the teams across the world\nOrganise the management offsite meetings in collaboration with HR, town hall events, seminars and events to ensure a strong communication approach from leadership\nContribute to increase communication on our transformation and business activities\nMaintain an up-to-date organisation chart of the Function\nThis role is flexible and may evolve to cover a wide range of topics based on the organization's needs.\nWorking relationships: \nOperations SLT\nOperations community\nOperations teams\nAXA Partners Protection CODIR, Chief of staff of AXA Partners Protection CEO\nTransformation team\nSupport functions dedicated to the BU (Finance, HR, Legal, Compliance, IT, Communication)\nCountry Managers\nCentral Function teams \nVarious Group stakeholders\nThis Ad will be published until September 24: we will no longer accept applications after September 24.\nWhat you’ll bring:\nProgram/Project management experience\nGood understanding of change management\nExperience working internationally with multiple functions in a matrix organisation\nEnglish fluent, French is a strong plus without being a must, other AXA Partners languages are assets for this role\nHighly effective communication skills, with the capacity to adapt to local cultures and contexts\nAdvanced level of analysis and synthesis skills\nAbility to work at pace in a fast changing, ambiguous environment\nCollaborative and able to adapt to multiple leadership styles whilst ensuring impact\nAbility to work with teams without hierarchical authority through strong influencing skills\nDelivery orientation with the ability to learn and embrace continuous improvement in processes and implementation approach\nTransparency, open-mindedness, and the courage to challenge others and offer constructive feedback.\nTransparent and open in their working style with the courage to challenge effectively and make tough observations to benefit the success of the BU\nProactive mindset, anticipating needs and actions\nStriving for excellence\nDeep listening and humility\nDeep sense of confidentiality\nWho we are:\nWe’re AXA Partners, experts at designing and delivering assistance solutions and specialised insurance, credit, and lifestyle protection - with and for our partners worldwide.
