We are seeking an experienced Business Coordinator to play a pivotal role in supporting the Head of Project Management - Combat Systems and broader leadership team, ensuring the smooth and effective operation of a dynamic and growing business.\nThis is a varied and rewarding position where you will act as a trusted business partner, delivering high-level administrative support while coordinating key business activities, leadership meetings, travel arrangements, governance processes, events, and stakeholder engagement initiatives. Your ability to anticipate needs, manage competing priorities, and maintain the highest levels of professionalism and confidentiality will be critical to your success.\nCore Duties:\nProvide comprehensive executive support, including calendar and inbox management, meeting coordination, document preparation, and stakeholder communications.\nCoordinate internal and external meetings, workshops, conferences, and leadership events, including logistics, catering, site access, agendas, minutes, and action tracking.\nSupport governance activities through the maintenance of systems, registers, records, and reporting requirements.\nArrange domestic and international travel in accordance with company policies.\nPlan and coordinate team-wide events and activities that enhance engagement and collaboration.\nContinuously identify and implement process improvements to drive operational efficiency\nRaise purchase orders, process invoices and reconcile credit cards in line with company policy\nAssist with on-boarding and off-boarding activities for project staff\nProvide ad hoc business support as required\nAbout You:\nSignificant experience in a business coordination, executive assistant, or senior administrative support role.\nExceptional organisational and time management skills with the ability to manage multiple priorities and deadlines.\nStrong attention to detail and a proactive, solutions-focused approach.\nExcellent written and verbal communication skills, with confidence engaging stakeholders at all levels.\nAbility to maintain discretion and handle confidential information.\nStrong stakeholder management skills and a collaborative approach to working across teams.\nExperience supporting governance processes, reporting, and business operations would be highly regarded.\nComputer literacy with intermediate knowledge of MS Suite along with SharePoint and Concur (desirable)\nAs a Defence security clearance is required for this role, applicants must be Australian citizens and either possess or be eligible to obtain and maintain appropriate clearances\nWhy BAE Systems?\nHere you’ll build a career with purpose and limitless possibilities.
