The Marketing Systems Admin will support the systems, data, digital assets, and administrative processes that keep our marketing and business development efforts organized and effective. This role will be responsible for maintaining marketing databases (including project and personnel information), managing digital assets, supporting pursuit setup and closeout, and coordinating the administrative needs of proposals, interviews, events, and other marketing initiatives. The position will also provide support for website content and communications while helping ensure our information and resources remain accurate, current, accessible, and aligned with the Balfour Beatty Construction brand.\nEssential Functions\nLead administrative setup for pursuits, including establishing pursuit folders, Bluebeam sessions, Microsoft Teams workspaces, email distribution lists, and other relevant resources.\nExecute pursuit-related administrative tasks, including bonding and insurance letter requests, client dossiers, StrengthsFinder code distribution, and the assembly and printing of materials.\nAdminister and maintain marketing systems, databases, and digital asset libraries, including Unanet, OpenAsset, and Creative Cloud libraries, ensuring project, personnel, and marketing information is accurate, current, and accessible.\nCoordinate project startup and closeout data collection and entry, working with project teams to capture and maintain relevant project information, experience, and marketing assets.\nManage personnel data, including new hire information, credentials, certifications, experience, and other information used for proposals and marketing materials.\nAssist SmartStart partnering sessions and other marketing initiatives through meeting coordination, preparation and assembly of materials, note-taking, digitization of session materials, and other administrative needs.\nSupport PR and communications including website maintenance, social media posts, public relations requests, newsletter content, and award submissions.\nOversee marketing-related logistics, including meetings, jobsite visits, professional project photography, and other team, client, or project-related activities.\nStrengthen business development and marketing research, including sourcing leads and updating client, partner, project, and reference information used to support future opportunities.\nServe as a resource for marketing technology and publishing tools, including developing expertise in Unanet Publisher.\nProvide general marketing and creative support as needed, including miscellaneous design projects, event planning assistance, and other initiatives that support the marketing team's priorities.\nMinimum Requirements\nHigh School Diploma or Associate Degree in Marketing, Communications, Business Administration, Information Systems, or related field.\nProficiency using a personal computer (PC), Microsoft 365 products, and collaboration tools, including Outlook, Teams, PowerPoint, Word, and Excel.\nRobust organizational and task management skills, with demonstrated ability to manage recurring processes simultaneously on multiple platforms.\nStrong technical aptitude and ability to quickly learn new software, systems, and documented processes, apply feedback, and work independently following initial training.\nExperience entering, maintaining, and organizing information within databases, content management systems, or other platforms, with strong attention to detail and accuracy.\nEffective written and verbal communication and collaboration skills, with the ability to proactively gather information, coordinate with multiple stakeholders, and follow through on commitments.\nExperience drafting social media posts for outlets such as LinkedIn, Instagram, Facebook.\nPreferred Experience\nExperience working with marketing databases, CRM platforms, digital asset management systems, or publishing tools; experience with Unanet, Copilot, OpenAsset, Adobe Creative Cloud, or Bluebeam is a plus.\nContinuous improvement mindset with an interest in identifying efficiencies, refining processes, and improving how information and resources are managed.\nAbility to collaborate and work independently and drive to be a positive team member.\nAbility to manage multiple projects and tasks simultaneously.\nCommitment to maintaining accurate, complete, and consistent data and information.\nConstruction, architecture, engineering, or other professional services industry experience helpful, but not required.\nPromote our Code of Conduct and our Creed’s four pillars of Zero Harm, Zero Waste, Client Advocacy and Employee Inspiration.\n\nAnnual Base Pay: $55,000 - $60,000\nThis is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee's pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, any collective bargaining agreements, and business or organizational needs.\nNo amount of pay is considered to be wages or compensation until such amount is earned, vested, and determinable.
