To effectively execute the job responsibilities, the Administrative Coordinator should demonstrate expertise in all administrative functions. They should be proficient in all departmental office technology. In addition, they should be able to maintain knowledge of various programs and projects specific to the Employee Relations & Employment Law team simultaneously. The Administrative Coordinator position requires strong prioritization and organizational skills, a heightened sensitivity to deadlines and a high degree of professionalism and commitment to confidentiality. The position requires the ability to function as an individual contributor in a team environment, and to effectively manage competing priorities in order to accomplish a variety of goals. It will be important that the Administrative Coordinator work pro-actively, independently with a high degree of initiative and capacity to anticipate the needs of professionals.\nYour key responsibilities will include:\nPro-active management of complex calendars including arranging and rearranging appointments as needed for internal and external stakeholders.\nSupport the planning and coordination of domestic and international travel logistics; including airlines, hotels, and transportation - and take initiative to collect travel receipts and submit expense reimbursement requests promptly.\nHandle incoming and outgoing phone and electronic communications while exercising and maintaining the highest level of confidentiality.\nOrganize, prioritize, and execute administrative tasks and projects as requested by the VP Employee Relations & Employment Law and VP of Rewards.\nWork closely and collaboratively with the other HR Administrative Coordinators and Rewards Team in support of special assignments, including ongoing responsibility to execute the administration of severance agreements.\nWorkload management; manage multiple assignments with a strong focus on organization and prioritization.\nAnswer inquiries and direct to appropriate parties for prompt and efficient resolution.\nMaintain documents and records in accordance with administrative and record retention policies.\nWork on special projects and assignments as requested.\nAttend and participate in meetings and events as required.\nWhat are we looking for?\nHigh School diploma required; Associate's or Bachelor’s degree preferred.\n5+ years of administrative experience supporting multiple leaders, including senior executives.\nAdvanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Teams.\nExperience managing complex calendars, meetings, travel arrangements, and executive priorities.\nAbility to anticipate needs, manage competing priorities, and adapt in a fast-paced environment.\nExperience coordinating international travel, events, and SharePoint administration preferred.\nFlexibility to support business needs outside standard business hours when required.\nStrong organizational, communication, interpersonal, and problem-solving skills.\nAbility to work independently while building effective relationships across all levels of the organization.\nAbility to quickly learn new systems and troubleshoot basic technology issues. \nSuperior prioritization, organization, proofreading, and office administration skills.\nWE ARE REYNOLDS AMERICAN-A member of the BRITISH AMERICAN TOBACCO GROUP\nAt Reynolds American, we are committed to our Purpose of creating A Better Tomorrow.
