We are looking for a passionate IT & People Operations Support Specialistto join our team and make a difference. As an IT & People Operations Manager, you’ll play a pivotal role in keeping our staff connected and secure, managing the technology and vendors our teams rely on every day, and running our DC Hub so the people behind BBYO’s programs can focus on creating meaningful experiences for Jewish teens. Alongside your teammates, you’ll connect in a dynamic environment and create a positive impact on teens, our community, and the world.\nBBYO runs on a small internal IT team and an outside managed service provider. This role is the person in the middle: the one who decides what gets handled internally, what goes to the vendor, and whether the vendor actually did it. Day to day, that means owning staff access across our systems, keeping the device fleet and license inventory current, running onboarding and off-boarding for a distributed staff, and being the internal point of contact when something breaks. It also means running the DC Hub office, because we’re a small shop and the person who knows the building is the person who knows the badge system.\nThis is a good fit for someone with real IT operations experience who wants ownership rather than a ticket queue, and who doesn’t mind that 40% of the job is logistics and administration. It’s a bad fit for someone who wants to be purely technical.\nRoughly: 60% IT operations, 25% office and facilities, 15% people operations support.\nSHAPING THE FUTURE FOR TEENS AND YOURSELF\nAs an IT & People Operations Manager, a typical day will include:\nIT Support and Vendor Management\nServing as the internal point of contact for staff technology support across Windows and macOS, Microsoft 365, Teams, Zoom, SharePoint, Salesforce, and Airtable.\nOwning the Fresh desk ticketing queue: intake, triage, routing, and deciding what our managed service provider handles and what gets resolved internally.\nManaging the day-to-day relationship with our managed service provider, including scope, response times, and escalation paths, and reviewing monthly ticket metrics to spot patterns that point to a systemic fix.\nAccess, Onboarding, and Off-boarding\nOwning the end-to-end onboarding and off-boarding process: account provisioning, license assignment, MFA enrollment, device readiness, access removal, and device recovery.\nAdministering Salesforce staff accounts and incident report access within least-privilege permissions.\nMaintaining distribution lists, shared mailboxes, Teams membership, and reporting hierarchy as the organization changes, with quarterly audits in partnership with the Talent team and department leads.\nPartnering with Talent on onboarding timelines and device returns, and delivering the new hire technology training session.\nDevices and Assets\nOwning the device inventory, including assignments, warranty, and replacement status, with quarterly audits to catch inactive devices that still cost money.\nRunning the four-year replacement cycle, from flagging upcoming replacements to getting the old device back.\nCoordinating hardware purchasing and budget forecasting, overseeing vendor-run setup and repairs, and managing hotspots and loaners.\nSecurity and Compliance\nSupporting staff with MFA, password resets, and account recovery, and working with our managed service provider on compromised accounts and security alerts, including recommending a course of action to leadership and communicating with staff.\nRunning phishing simulations, assigning follow-up training, and partnering with Talent on annual IT and security compliance training.\nMaking sure devices meet encryption and security requirements and that backup coverage is current.\nReviewing and maintaining IT policies, including the annual IT Handbook cycle, and keeping them aligned with the Employee Handbook.\nLicenses, Contracts, and IT Spend\nMaintaining the software license and contract inventory, owning the renewal calendar, and flagging seats we pay for but don’t use.\nServing as the account contact for technology vendors, handling renewals, service issues, and account changes, and bringing contract and pricing decisions to IT leadership.\nReconciling IT invoices, allocating costs to the right departments, and managing IT purchasing cards.\nDC Hub Office Operations\nRunning day-to-day operations of the Hub, including supplies, kitchen, mail and shipping, and storage and labeling systems, including materials moving to and from summer programs and International Convention.\nServing as the point of contact for building management and office vendors, including maintenance, janitorial, and security.\nManaging building access and badges, the room booking system, and conference room reservations.\nMaintaining and troubleshooting conference room A/V, printers, and workstation setup.\nSupporting meetings and staff events at the Hub, including room setup, technology, and day-of coordination.\nPeople Operations Support\nBuilding and maintaining HR forms and workflows, including Jotform administration, and keeping employee data and Airtable records accurate and current.\nAdministering professional development requests, approvals, and tracking.\nSupporting compliance tracking, including Youth Mental Health First Aid, partner requirements, and required training completion.\nRunning recognition, engagement, and wellness programs, including employee milestones and the staff wellness platform.\nWHAT WE’RE LOOKING FOR\nRequired:\n4 or more years in IT support or IT operations, including time owning systems rather than only responding to requests.\nHands-on administration of Microsoft 365, including Entra and Exchange, across Windows and macOS.\nExperience managing a helpdesk or ticketing system as the owner, not just a user.\nExperience working with an outside IT vendor or managed service provider, including holding them to scope.\nWorking knowledge of security practices: MFA, phishing, account compromise, and device compliance.\nComfort with contracts, renewals, invoices, and budget tracking.\nDiscretion with confidential personnel information and sensitive youth safety records, and sound judgment with privileged administrative access.\nStrong organization and follow-through. A lot of this job is noticing that something is due before it’s late.\nClear communication with non-technical staff and a service mindset.\nHelpful:\nScripting or automation experience, particularly PowerShell.\nSalesforce or Airtable administration.\nNonprofit experience, or experience supporting a distributed and seasonal staff.\nREQUIREMENTS\nAttend BBYO major events (2-3 times per year), including Staff Conference and International Convention.\nAbility to travel as needed (estimated 5-10%).\nBased in the Washington, DC area and able to work on-site at the DC Hub.\nAbility to lift up to 25 pounds.\nUnrestricted authorization to work in the U.S. without holding a visa or sponsorship.\nTo perform this job successfully, the individual must be able to perform each essential duty/function with or without reasonable accommodation in accordance with applicable law.\nBENEFITS OF OUR DYNAMIC AND SUPPORTIVE WORKPLACE\nOwn Your Balance\nFlexible work environment\nUnlimited paid time off (PTO)\n18 paid secular and Jewish holidays\nPLUS two-week long office shutdowns\nInvest in Your Well-being\nMedical, dental, vision, short- & long-term disability, and 2.5x salary life insurance\nGenerous 403b and Roth retirement plan with vested match\nFree access to WellHub, which includes access to gyms, online workouts and wellness apps\nFamily First Environment\nTeen Involvement Benefit stipend\nFlexibility in bringing child(ren) on business travel\nGenerous paid parental leave\nCompensation: Salary Range: $70,000-$75,000 annually.
