We pride ourselves on our collaborative and inclusive culture, and on maintaining high standards of safety, quality, and service.\nPurpose of the Role\nBGIS is looking for an Assistant Facilities Manager to support the day-to-day operation and service delivery of a significant defence and shipbuilding site in Osborne. Reporting to the Facilities Manager, you'll work closely with client and BGIS teams to keep maintenance running smoothly, support the on-site team, and be a trusted point of contact for the client.\nThis is a long-standing client relationship, and the role is highly client-facing. This is a role with real scope to make your mark. You'll have the support of the wider BGIS team and the opportunity to help shape how the site continues to improve.\nThe ideal candidate is a collaborative, motivated team player who brings fresh ideas and enjoys working directly with clients. Whether your experience comes from the soft services or technical side of facilities management, we'd love to hear from you.\nKey Responsibilities\nManage the CMMS, making sure preventative and reactive work orders are captured, allocated and completed to meet contract KPIs.\nAct as the first point of contact for the client and other internal and external stakeholders.\nSupervise and support the maintenance and support staff on site.\nSchedule and oversee service contracts, including essential services and statutory maintenance inspections and certifications.\nSupport subcontractor management, including documentation, sign in and out, WHS and insurance currency.\nCarry out regular maintenance inspections of services, plant and equipment.\nFollow up job requests and keep the client informed about any overdue works.\nReview invoices, raise client invoices, maintain the purchase order register and contribute to monthly accruals and budgets.\nHelp prepare monthly contract reports and run client meetings.\nSupport tendering and the development of scopes of work and subcontract documentation.\nKeep information current in SharePoint in line with the Quality Management System.\nTake part in the after hours on call roster and emergency call outs, and support WHS and environmental compliance. \nEducation, Experience & Skills\nEssential:\nExperience in a building or facilities management environment, ideally in a property or similarly complex setting.\nExperience in people supervision or team coordination.\nKnowledge of building services and general building maintenance.\nExperience scoping, tendering or managing subcontractors.\nSound financial and commercial understanding, including budgeting and invoicing.\nExperience working within QA, WHS and environmental systems.\nProficiency in Microsoft Office and CMMS platforms.\nExcellent written and verbal communication skills, with confidence working directly with clients.\nAbility to juggle multiple tasks and adapt to change.\nHigh School Certificate or equivalent.\nCurrent Driver's Licence.\nAustralian Citizen with the ability to obtain and maintain an NV1 Security Clearance.\nDesirable:\nElectrical or other relevant trade qualification (TAFE or equivalent).\nFormal tertiary qualifications in building or facilities management.\nCurrent Senior First Aid Certificate.\nExperience in defence, aviation or other secure environments.\nWorkplace Flexibility\nThis is a full time, permanent position based 100% on-site in Osborne.
