The Facility Manager II is “THE OWNER OF THE HOUSE”. Focused on owning and driving all activity occurring in your building(s) and ensuring facilities are operated safely, cost effectively, and efficiently as per the operating parameters of the Statement of Work and management in our client contract. This role will be visible on facility sites (as agreed upon with clients and managers) and will be the primary BGIS representative for day-to-day contact with the client and the tenants for performance of the contract.\nAt this position level, the individual is responsible for:\nModerate to large-sized portfolios; and/or\nFacilities of moderate to high complexity; and/or\nContract requirements of moderate to high complexity\nThis role will work in collaboration with all key BGIS departments to ensure full support of all activities and play a key role in our INTEGRATED approach to operating buildings.\nKEY DUTIES & RESPONSIBILITIES\nPortfolio Management\nManages the operations and maintenance activities as well as annual facility programs of a portfolio of facilities.\nResponsible for ensuring facility uptime objectives are met. Ensures the continued safe and reliable operations of the portfolio of facilities managed.\nCreates and implements annual facility management plans.\nCollaborates with relevant stakeholders and oversees the implementation of facility-related programs.\nOversees maintenance and repair activities and performance of internal Technicians and service providers. Ensures work is completed on time, safely and meet quality requirements.\nEnsures all relevant documentations (i.e. annual facility inspections, equipment data, project files, etc) are captured within service maintenance databases.\nCollaborates with relevant stakeholders to evaluate capital assets (i.e. equipment, etc.) and to make recommendations for maintenance, repair and replacement and inclusion within the capital budget.\nContinuously seeks ways to gain greater efficiencies through activities such as recommending and implementing best practices, collaborating with internal teams to implement sustainable practices and improvement initiatives, utilizing internal Technicians wherever possible, etc.\nCollaborates with relevant stakeholders to optimize assigned portfolio and continuously create value for the client.\nService Delivery Management\nResponsible for meeting client obligations.\nResolves problems and/or conflicts and maintains open communication with the client including providing regular written and oral reports to ensure satisfaction\nRecommends solutions and implements appropriate actions for issues\nMonitors service delivery performance against established metrics/key performance indicators. Identifies gaps, develops and executes corrective action plans to ensure all objectives are met.\nMonitors all service requests to ensure within agreed upon scope and escalates to senior management, where required.\nResponsible for ensuring compliance to all legislated, corporate and industry-related requirements and guidelines including but not limited to environmental, health and safety, and building standard requirements.\nRisk Management, Emergency Preparedness and Business Continuity Planning and Execution\nExecutes emergency preparedness, risk management, disaster recovery and business continuity plans\nCollaborates with relevant stakeholders on incident management-related requirements\nHealth, Safety, Environment & Security\nActs as the focal point of contact and collaborates with Environmental, Health, Safety and Security Team to ensure ongoing compliance with all health and safety related legislation and requirements.\nIn collaboration with Environmental, Health, Safety and Security Team, administer vendor safety-related accreditation, training and qualification, where required.\nOrganizes and facilitates health and safety-related meetings with vendors to ensure ongoing safety compliance.\nMonitors and is responsible for the safe delivery of all work performed within assigned portfolios.\nClient Relationship Management\nDevelops and maintains effective relationships with clients. Ensures ongoing client satisfaction.\nActs as the focal point of escalation for issues pertaining to facilities managed.\nBudget Development & Management\nResponsible for meeting budget for assigned portfolio.\nDevelops and manages budget for portfolio and project expenses. Collaborates with Finance to ensure affordability, budget management and ongoing profitability.\nLiaises with relevant operations team members and Finance team for reports to monitor expenses.\nReviews and approves expenditures.\nProject Management\nDevelops and executes project plans and related estimated costs and budget for assigned portfolio.\nOversees project delivery.\nLiaises with relevant stakeholders to ensure projects are delivered with minimum disruptions to facilities and all relevant data are received and updated into database.\nRegulatory Compliance\nEnsures all regulatory compliance requirements have been performed and all related documentations are created and maintained\nCollaborates with Procurement and Supply Chain Administration teams to source and qualify vendors, source and procure goods and services.\nEnsures the availability of an adequate inventory of tools and other supplies to operate the facilities.\nPeople Leadership\nResponsible for employee-oriented activities including but not limited to employee engagement, development and performance management, hiring and retention, compensation recommendations\nOther duties as assigned.\nKNOWLEDGE & SKILLS REQUIRED\nCollege diploma or equivalent training (e.g. RPA, CET)\n3-5 years or more of facility management work experience\nSolid facility operations and maintenance management abilities\nSolid proficiency with facility equipment and building systems\nSolid service delivery management abilities\nSolid budget management abilities\nDeveloped communication, influence, persuasion and negotiation skills\nSolid client relationship management abilities\nSolid people leadership skills\nSolid vendor management skills\nHigh degree of client service orientation and sense of urgency\nSolid project management skills\nSolid emergency preparedness and business continuity planning and execution abilities\nPossesses a sustainability mindset and seeks to incorporate sustainable practices within assigned portfolio where possible\nThorough knowledge of health and safety requirements.
