This includes implementing and improving Tenant Relationship Management and Retention programs, supporting planning and delivery of exceptional service to ensure the asset is managed to meet client / landlord goals and objectives.\nKEY DUTIES & RESPONSIBILITIES\nReceive, process and validate service\nMaintain positive tenant and client department relationships through professional and effective responsiveness to, and proactive\nconsideration of all issues, thereby ensuring that tenant expectations and landlord criteria are being consistently met;\nAssist in the preparation and implementation of initiatives to increase and uphold the quality and effectiveness of tenant relations\nAct as direct tenant liaison to ensure that all tenant construction activity and landlord work are well coordinated, organized and\nproactively managed, and in fulfillment of lease obligations;\nMeet with Property Management team, Operations team, tenants, vendors, contractors and senior management as needed to review\nand provide support to resolve operational challenges and implement new initiatives;\nHold shared accountability for building presentation to ensure CBC/Radio-Canada’s best-in-class image is upheld at all times at the\nportfolio properties\nRegularly inspects the building public spaces, lobbies, floors, common areas to understand the various tenant experiences and identify\nbuilding concerns, identify opportunities, and ensure that there are no negative tenant experiences.\nConduct property inspections and is responsible for annual Building Condition reporting\nProvide assistance in the day-to-day operations of each facility ensuring the timely proactive completion of Preventative and Corrective\nmaintenance and seasonal interventions.\nProvide timely communication and updates on building operational issues to tenants and landlord.\nProvide Incident management for breakdowns, communications, escalation, and corrective actions for assigned areas of responsibility.\nEnsure appropriate documentation is collected and made available to satisfy KPI’s, and tenant requirements to demonstrate proper\nmaintenance and upkeep of building systems and that we are acting as prudent Property Managers.\nAssist the National Director-Operations in the administration of portfolio service contracts; preparation of tender and standard service\nagreements, as necessary\nPromote additional services for tenants\nKnow your tenants …. Stay close to tenants, know their business, hours of operation, and maintain detailed Tenant Profile reference\ndocuments and history logs. Have an intimate understanding of pertinent covenants and lease documentation\nAssist the National Director-Operations in enforcing terms and provisions of leases\nTenant Engagement programs …. Lead and promote property initiatives, including sustainability and environmental initiatives\nLiaise with Operations Centre to ensure service delivery and satisfaction for all Work Orders.\nDraw out system data and use the information to improve management of the facility. Use data to improve tenant experience and\nincrease services to tenants. Utilize statistical data to analyze and prepare reports to facilitate planning, budgeting, scheduling and\nimplementation of new action plans.\nMaintain and update Tenant building manuals and other building related materials\nOversee tenant move-in and move-out process\nCoordinate building/industry recognition (i.e.: TOBY Award)\nAnalyze needs for Client Services Training and recommend to National Director-Operations including customer service training for tenant interfacing BGIS staff and vendors (e.g. House Service, Security Guard) staff\nIn conjunction with the National Director-Operations and the client Asset Management team, defines scope of work of both major and\nminor facility maintenance and repairs projects, participates in preparation of tenders, and selection recommendations.\nAssists National Director-Operations with development of operating and capital budgets; manages budgets for assigned areas of\nresponsibility.\nProvide favorable visibility for BGIS in the community by active participation in real estate related organizations and community efforts\nWorks safely and ensures all staff members will work safely and in accordance with our Health & Safety Action Plan. Ensures\ncompliance with Occupational Health and Safety policies, regulations.\nAct as an on-going innovator and thought leader for all aspects of services delivery as well as an innovation catalyst for the team\nVisit all remote sites and complete annual building inspection reports\nIdentify user space concerns and coordinate planned repairs with CBC/Radio-Canada Advisor, Building Operations & Security\nPrepare and promote asset management plans for each location\nImplement sustainability program at each location in conjunction with CBC/Radio-Canada Senior Advisor, Health, Safety &\nEnvironment\nReview lease agreements and confirm landlord obligations are being met\nDevelop and circulate remote office newsletter to keep client staff aware of FM related topics\nTrack / report on service level results for all Work Order requests and drive improved results\nOther duties as assigned.\nKNOWLEDGE & SKILLS\nA seasoned dynamic, energetic, and change driven Property Management professional\nMinimum 10 years related Facility & Property Management experience including experience in large multi-tenant properties, developing\ntenant relationship and retention programs\nMinimum 5 years managing/leading a facility operations and tenant services team.\nProven experience effectively working and managing key subcontractors and interacting with key building occupants as required.\nProven experience with driving change.\nExcellent customer service skills with ability to drive excellent tenant and client experience\nFamiliar with Commercial leases\nExperience with financial management of commercial properties. Higher than average accounting knowledge, able to read and\nunderstand financial reports and statements.\nRPA/FMA certification is an asset.\nUnderstanding of building codes, standards and compliance related items.\nProven knowledge of technical systems in such an environment.\nFacility operations and maintenance management abilities\nBudget management abilities\nAbility to lead and engage in a team of individuals\nVendor management abilities\nPossesses a sustainability mindset and seeks to incorporate sustainable practices within assigned portfolio where possible\nKnowledge of health and safety requirements. Possesses a high degree of safety mindset\nPossesses a continuous improvement and quality mindset and seeks to continuously improve processes and incorporate best practices\nwhere applicable.\nMaintains current knowledge of and developing ability to implement facility management services best practices.\nAble to obtain required CBC/Radio-Canada security clearance.\nLicenses and/or Professional Accreditation (Considered an asset)\nValid driver’s license (as required) ,\n\nRPA, CPM or equivalent experience\n\nThis is a regular, full-time position with a salary range of $96,322 to $120,402 per annum.
