You will use WorkBuddy to keep planned works organised, allocated and on track.\nThe ideal candidate will be organised, collaborative and detail focused, with a genuine enjoyment of keeping things running smoothly for others.\nKey Responsibilities\nPrepare, schedule and allocate planned maintenance and project work orders\nCoordinate trade and subcontractor allocations to support timely delivery\nKeep accurate work order updates, records and documentation in WorkBuddy\nSupport Work Supervisors and operational teams throughout each job\nMaintain approvals, variations and supporting documents\nFollow up subcontractors on outstanding actions\nBuild positive relationships with subcontractors, teams and client stakeholders\nPrepare work-in-progress and operational reports\nRaise delays, risks and work order issues with the team\nMaintain clear communication records and job history\nEducation, Experience & Skills\nEssential:\nExperience in administration, scheduling or coordination\nExperience preparing and maintaining records and documentation\nExperience coordinating multiple work activities and stakeholders\nStrong organisation and time management skills\nClear communication and relationship-building skills\nAttention to detail and data accuracy\nConfidence managing competing priorities\nProficiency in Microsoft Office and work management systems\nYear 12 completion or equivalent\nFull working rights in Australia\nDesirable:\nQualification in Business Administration, Customer Service or a related discipline\nExperience in facilities management, maintenance, construction or property services\nExperience using workforce or work order management systems\nKnowledge of planned maintenance delivery processes\nWorkplace Arrangements\nThis is a permanent full-time, on-site position based in South-East Metropolitan Melbourne during core business hours.
