We pride ourselves on our collaborative and inclusive culture, and on maintaining high standards of safety, quality, and service.\nPurpose of the Role\nBGIS is looking for an experienced Reporting & Compliance Manager to support the facilities contract at a high-profile, high-activity precinct in Melbourne's north. Reporting to the Account Manager, you'll monitor and report on contract and subcontractor performance, keep compliance records in order, and make sure the client has clear, accurate information about how the site is performing.\nThis is a highly client-facing role, so you'll enjoy building positive relationships with stakeholders at every level. You'll also be the organised hub of the contract, freeing up the managers and engineers to focus on their core work.\nYou'll be joining a lovely team who work well together and have a great rhythm. We'd love to welcome a diligent team player who values collaboration and enjoys contributing to a cohesive and positive team culture.\nKey Responsibilities\nMonitor and report on subcontractor performance and contract KPIs through the CMMS.\nPrepare monthly, quarterly and annual performance reports in line with the KPI regime.\nReport weekly on planned maintenance status, aged jobs and work in progress.\nCheck the accuracy of CMMS data, including asset registers and maintenance history.\nCollate and report on subcontractor compliance, including HSEQ plans, insurances, inductions and statutory requirements.\nManage contractor and vendor databases and the specialist third-party vendor contract file.\nCommunicate warranty, defect liability and compliance issues to the team.\nSupport tendering, tender reviews and subcontractor maintenance plans.\nPrepare account statements and invoicing for approval and contribute to budget development.\nTake minutes at client and contractor meetings and support equipment testing events.\nBuild strong relationships with the client, subcontractors and the BGIS team. \nEducation, Experience & Skills\nEssential:\nBackground in reporting and compliance, ideally within facilities management or an outsourced services environment.\nExperience in contract administration and database management.\nExperience developing and reporting on complex KPIs, and interpreting property, facilities and financial information.\nExperience with CMMS platforms.\nSound knowledge of building services and the related legislation and standards.\nSound budgeting, forecasting and financial monitoring skills.\nExcellent written and verbal communication skills, with confidence engaging clients at all levels.\nA diligent, organised and methodical approach, with the ability to prioritise work to tight deadlines.\nProficiency in Word, Excel and PowerPoint.\nTertiary qualifications in Property, Commerce, Business or a related discipline.\nDesirable:\nExperience in a helpdesk environment.\nExperience supporting or developing a small team.\nExperience in high-profile or high-activity operational sites.\nWorkplace
