THE OPPORTUNITY
The Inventory Flow Manager owns the flow of Billy Reid product and orders, from inbound receipts to delivery, across wholesale, e-commerce, and retail replenishment. The role keeps orders accurate, on time, and compliant, and is the day-to-day link between customers, the fulfillment partner, and internal teams.
Success is measured on inventory accuracy across systems, fill rate, on-time delivery and minimizing retailer chargebacks.
KEY RESPONSIBILITIES
Pipeline and Flow
- Manage the inventory pipeline from production and inbound shipments through receipt at the fulfillment partner.
- Match incoming receipts to demand: open wholesale orders, store replenishment, and e-commerce.
- Release (drop) orders to the fulfillment partner in line with ship windows, priorities, and available inventory.
- Flag receipt delays and inventory gaps early, and recommend order, allocation, or ship-date changes.
Wholesale Orders
- Receive and confirm wholesale purchase orders, including EDI orders from department store and specialty accounts.
- Manage ship windows, cancel dates, and order changes; communicate risks to accounts and sales early.
- Ensure compliance with retailer routing guides, labeling, ASN, and invoicing requirements.
- Track and dispute chargebacks, and fix the root causes to prevent repeats.
E-commerce and Retail Orders
- Monitor order flow from the e-commerce platform to fulfillment; resolve stuck, held, or failed orders daily.
- Coordinate store replenishment and inter-store transfers with retail and planning.
- Support customer service on order status, split shipments, backorders, and exceptions.
Fulfillment and Inventory
- Serve as the main contact with the third-party fulfillment partner on order release, priorities, and shipping cutoffs.
- Allocate available inventory across channels according to business priorities.
- Own inventory accuracy: reconcile on-hand quantities between the ERP, e-commerce platform, and the fulfillment partner's WMS; lead cycle-count reviews and resolve variances.
- Monitor short-ships, cancellations, and backorders; drive corrective action with the fulfillment partner.
- Coordinate returns with the returns platform and fulfillment partner so credits and restocks are timely and accurate.
- Manage store packaging supply requests and fulfillment, support fulfillment partner with monitoring supply inventory levels and initiate reorders.
Systems and Reporting
- Keep order, shipment, and inventory data in sync across the ERP, e-commerce platform, and WMS; reconcile discrepancies.
- Produce weekly reporting on open orders, fill rate, on-time shipment, chargebacks, and returns.
- Recommend and document process improvements and standard operating procedures.

Requirements
QUALIFICATIONS
Required
- 5+ years in order management, inventory flow, or supply chain, ideally in apparel or consumer goods.
- Working knowledge of wholesale EDI (850 PO, 856 ASN, 810 invoice) and department store compliance requirements.
- Hands-on ERP experience (NetSuite preferred) and familiarity with e-commerce platforms (Shopify preferred).
- Experience working with a 3PL or warehouse management system.
- Strong Excel skills (pivot tables, lookups) and comfort reconciling data across systems.
- Clear communicator who stays organized under deadline pressure.
Preferred
- Bachelor's degree in supply chain, business, or a related field.
- Experience with a returns platform and multi-channel inventory allocation.
- Experience supervising or training a small team.
