You will take care of the day-to-day admin and ad hoc requests, from travel and visas to team events and light finance admin. This role suits someone who likes being the go-to person who gets things done.\nWhat you will be responsible for:\nArranging business travel end to end, including flights, hotels, ground transport and itineraries, plus changes and cancellations at short notice\nHandling visa applications and travel documents, including preparing documents, submitting applications and tracking deadlines\nManaging calendars, scheduling meetings across time zones, and coordinating with internal teams and external parties\nPlanning and booking team bonding activities, team meals and department events, including venues, vendors, logistics and budgets\nPreparing and tracking expense claims, reimbursements and receipts for travel and events\nSupporting light finance admin such as collecting documents and following up on approvals\nHandling ad hoc admin requests and errands as they come up\nMaintaining organized filing and records, both digital and physical\nHow you will stand out:\nAt least 2 years of relevant experience as an Executive Assistant, Personal Assistant, Secretary or Admin Assistant\nHands-on experience with corporate travel and visa applications for different countries\nVery organized and detail-oriented, able to juggle competing priorities and last-minute changes calmly\nProactive and resourceful: you anticipate needs and solve problems before you’re asked\nDiscreet and trustworthy with confidential information\nStrong written and spoken communication\nComfortable with Google Workspace (Gmail, Sheets) and Microsoft Excel\nAny exposure to finance or accounting admin
