The King Edward Memorial Hospital is a 24x7, 365 days a year operational site and is the only hospital on island.\nThe Facility Coordinator provides administrative and operational support to the Facilities Management team by coordinating maintenance activities, contractor services, project administration, compliance documentation, and departmental reporting.\nDuties & Responsibilities\nMaintenance Coordination\nCoordinate preventive and corrective maintenance activities.\nMonitor and track work orders to ensure timely completion.\nSchedule contractors and service providers as required.\nCoordinate facility shutdowns and access requests.\nAssist with the coordination of capital projects, lifecycle replacements, and minor works projects.\nTrack project budgets, commitments, invoices, and expenditures.\nMaintain project cost reports and status updates.\nMonitor purchase orders and assist with invoice reconciliation.\nContractor and Vendor Support\nLiaise with contractors, consultants, and service providers.\nMaintain contractor records, permits, and documentation.\nAssist with obtaining quotations and service proposals.\nDocumentation and Compliance\nMaintain maintenance records, reports, permits, and drawings.\nSupport regulatory compliance and accreditation activities.\nTrack inspection findings and corrective actions.\nAssist with life safety, environmental, and infection control documentation.\nReporting and Administrative Duties\nPrepare weekly and monthly operational reports.\nUpdate asset and equipment records.\nMaintain filing systems and departmental records.\nAssist with budgeting, purchase orders, and invoice processing.\nTrack departmental performance indicators.\nPrepare meeting notes, action item logs, and follow-up reports.\nSupport data entry and administration of CMMS and other facility management systems.\nCustomer Service and Communication\nRespond to facility-related inquiries and service requests.\nCoordinate communication between facility staff, hospital departments, and contractors.\nAssist in resolving operational issues and escalating concerns when required.\nInventory Management\nCoordinate inventory management activities, including stock monitoring, replenishment, record accuracy, and periodic inventory count to ensure essential materials and spare parts are readily available.\nEmergency Support\nAssist with facility emergency response activities.\nSupport restoration and recovery efforts under the direction of management.\nEducation & Skill Requirements\nDiploma or degree in Facilities Management, Engineering Technology, Business Administration, or related field preferred.\n3 yrs Experience in facilities maintenance, building operations, project administration, or facilities coordination.\nStrong organizational, communication, and computer skills.\nExperience with CMMS systems and Microsoft Office
