About the Role
Boogie Team is looking for a smart, organized, and dependable Real Estate Administrative Coordinator to support a U.S.-based client involved in real estate investment and construction operations.
This role is ideal for someone who is proactive, detail-oriented, and good at keeping multiple projects and follow-ups organized. You’ll help coordinate property and construction-related tasks, communicate with contractors and vendors, gather information, track deadlines, and make sure important items keep moving forward.
You don’t need to know everything on day one. What matters most is that you learn quickly, communicate professionally, take ownership of your work, and make sure tasks don’t fall through the cracks.
Key Responsibilities
- Coordinate repair, construction, and property-related tasks across multiple projects.
- Gather bids and follow up with contractors, vendors, utility companies, municipalities, and service providers.
- Track deadlines, pending items, project updates, and next steps to ensure timely follow-through.
- Make inbound and outbound calls to gather information, confirm details, and follow up on requests.
- Organize project information, documents, notes, spreadsheets, and internal records.
- Assist with scheduling and coordination between contractors, vendors, and other stakeholders.
- Conduct online research and provide clear updates on completed tasks, pending items, and areas requiring attention.
Requirements
Excellent spoken and written English.
- Clear and professional phone communication; a neutral or light accent is preferred.
Strong organizational skills and attention to detail.
- Excellent follow-up skills with the ability to manage multiple open tasks at once.
- Comfortable making and receiving calls with contractors, vendors, utility companies, municipalities, and other external parties.
Proactive, resourceful, and able to learn new processes quickly.
- Comfortable using spreadsheets, email, messaging platforms, online research tools, and task-tracking systems.
- Able to work independently after training while knowing when to ask questions or request clarification.
Preferred Qualifications
- Previous experience in real estate, property management, construction coordination, operations, administrative support, or virtual assistance.
- Experience coordinating contractors, vendors, repairs, or property-related projects.
Familiarity with project management or task-tracking tools.
- Experience supporting a U.S.-based business or working during U.S. business hours.
