This role is responsible for coordinating creative projects from intake through final delivery, helping ensure that priorities, timelines, approvals and stakeholder communications remain on track.\nThe ideal candidate enjoys managing multiple moving pieces, is comfortable working with cross-functional teams and understands how creative work is produced. Experience working with creative, branding, advertising, marketing or digital agencies is strongly preferred.\nThis is a coordination-focused role, not a design role.\nWhat you'll do\nProject coordination\nManage intake of creative requests and ensure requirements are complete before work begins.\nCreate and maintain project schedules, timelines, milestones and review cycles.\nTrack priorities, dependencies, approvals and deliverables across multiple concurrent projects.\nCoordinate communication between stakeholders, designers, content creators, agencies and vendors.\nFacilitate reviews, feedback cycles and approval workflows.\nMonitor project status and proactively identify risks, bottlenecks and scheduling conflicts.\nMaintain project documentation, meeting notes and status updates.\n\nCreative workflow management\nCoordinate a wide range of creative deliverables, including:Digital marketing and social media assets\nAdvertising and campaign creative\nPresentation decks and templates\nBrand and communications materials\nSales and marketing collateral\nEvent branding, signage and environmental graphics\nPrint and digital assets\nProduction-ready files and deliverables\n\nEnsure briefs, content, specifications and supporting materials are ready before work begins.\nOrganize asset reviews, approvals and final delivery.\nMaintain version control and project records throughout the lifecycle of each project.\nAgency and vendor coordination\nPartner with external creative, production and marketing agencies.\nCoordinate timelines, deliverables and review processes.\nConsolidate feedback and communicate updates clearly and accurately.\nTrack production schedules and delivery milestones.\nSupport vendor communications and production handoffs.\nCross-time-zone collaboration\nSupport collaboration between U.S.-based stakeholders and India-based team members.\nEnsure handoffs, decisions, feedback and next steps are documented and communicated clearly.\nHelp maintain workflow continuity across a distributed team environment.\nWhat we're looking for\n3-5 years of experience in project coordination, account management, traffic management, operations or project management.\nBachelor's degree in marketing, communications, business, project management or a related field.\nExperience working with creative, marketing, branding, advertising or digital agencies preferred.\nStrong organizational and time-management skills.\nAbility to manage multiple projects simultaneously while maintaining attention to detail.\nExcellent verbal and written communication skills.\nComfortable coordinating work across creative, design, marketing, communications and events teams while partnering with creative leaders, designers, content creators, agencies, vendors and other stakeholders.\nStrong follow-through and problem-solving abilities.\nExperience working with project management and workflow platforms such as Smartsheet, Monday.com, Asana, Jira, Workfront or similar tools.\nFamiliarity with branding, advertising, content production or event marketing workflows.\nFamiliarity with creative review, approval and asset delivery processes.\nExperience working with external agencies, production partners, printers or vendors.\nAbility to thrive in a fast-paced environment with shifting priorities.\nExperience supporting creative teams working across global time zones is highly desirable.\n\nNice to have\nExperience supporting event production, tradeshow, conference or experiential marketing programs.\nExposure to creative operations, traffic management or agency workflow management.\nBasic understanding of print production and digital asset delivery.\nundefined\nundefinedSuccess in this role\nSuccess in this role means keeping work moving.
