As a Management Assistant, you will support location operations by helping managers with hiring, onboarding, and orientation for new associates. You will also manage key administrative tasks, including paperwork, system updates, uniform and safety equipment ordering, and required safety and certification training. Some reconditioning centers also host wholesale auctions for licensed dealers; at those locations, you will support vehicle paperwork and cash handling in a fast-paced, team-oriented environment. Depending on the location, this role may be full time or part time. At combined reconditioning and auction locations, full-time Management Assistants support both management teams. This is where innovation meets passion - be inspired and supported to take us to the future.\nRole Responsibilities\nCoordinate hiring and onboarding processes, including scheduling interviews, preparing documentation, and managing applicant records in Workday. \nFacilitate new associate orientation, ensuring timely completion of required documentation and training, and maintaining accurate personnel files. \nComplete new hire employment eligibility verification, including I-9 documentation, and coordinate badge issuance and facility system access. \nAdminister uniform and personal protective equipment (PPE) programs, including sizing, ordering, replacement, and distribution records. \nFollow CarMax Environmental, Health and Safety (EH&S) requirements and maintain a clean and orderly work area. \nAt locations that also include Auctions Operations Management Assistants will also process auction paperwork, including DMV documentation and dealer registration, and handle cash management tasks, including deposits, safe handling, and multiple payment types. \nProvide additional administrative support and complete other duties as assigned by the Operations Manager.\nRequired Qualifications\nAbility to read, interpret, and accurately transcribe data for record-keeping. \nStrong organizational skills and attention to detail in a deadline-driven environment. \nProficiency in word processing, spreadsheets, and intermediate PC skills. \nEffective communication skills for interacting with customers and associates in person, by phone, and in writing. \nAbility to multitask and prioritize in a fast-paced production setting \nAbility to lift objects that weigh as much as 20 lbs. \nComfort working in and moving about an active reconditioning facility, including exposure to noise, fumes, and varying temperatures, and adherence to all required personal protective equipment (PPE) standards. \nMaintain confidentiality of associate records and reports within scope of position. \nFlexibility to work varied schedules, including nights, weekends, and holidays;\nPreferred Qualifications\nN/A\nAbout CarMax\nCarMax disrupted the auto industry by delivering the honest, transparent and high-integrity experience customers want and deserve. We are recognized for our commitment to training and diversity and are one of the FORTUNE 100 Best Companies to Work For®.\nThe hourly rate for this position is:\n$15.50 - $23.30Benefits:\nExcept as otherwise required by state law, CarMax Associates are entitled to the following paid sick, vacation, and holiday time.\nAssociates that are considered full-time hourly or commission/incentive eligible:\nTo earn up to 48 hours of sick time per year accrued on a per pay period basis and between 80 hours and 200 hours per year of vacation time after a 90 day waiting period depending on years of continuous service with the Company. \nFor 8 hours of pay for each of a total of 6 paid scheduled holidays per year plus 1 floating holiday.
