The role reports to the Account Director and works closely with sub-contractors and clients, and support teams to ensure smooth daily operations, strong administration, and high-quality service.\nKey Responsibilities\nManage day-to-day operational requirements.\nEnsure Planned Preventative Maintenance (PPM) is completed on time and to industry standards.\nMonitor performance using reactive and PPM systems to maintain service quality.\nProvide on-site support during staff absence, performance issues, or business-critical needs.\nRaise purchase orders for engineers and subcontractors.\nComplete all monthly billing paperwork.\nOversee Work in Progress (WIP) to ensure timely invoicing.\nRequest, schedule, and manage subcontractor maintenance visits, extra works, and callouts.\nEnsure all subcontractor documentation meets Health & Safety and legislative requirements.\nProcess supplier and subcontractor invoices and resolve related queries.\nMaintain accurate subcontractor and supplier records.\nReview weekly financial reports, including WIP, OPO, PI, and debt.\nAct as first point of escalation for financial and contract support queries.\nManage the out-of-hours callout rota and arrange cover when required.\nEnsure compliance with contractual KPIs and SLAs.\nCommunicate effectively with sub-contractors and clients.\nSupport with internal and client reports (monthly, quarterly, annual).\nTake minutes during internal and client meetings when required.\nSupport onboarding of new staff, including eLearning and IOSH setup.\nAct as a super-user for systems.\nManage hazard reporting processes and arrange training courses for staff.\nEnsure all tasks are fully completed and followed through.\nAccountabilities\nReports directly to the Account Director.\nMay oversee Contract Support, Helpdesk staff, sub-contractors and engineers.\nNo direct budget ownership, but financial awareness is required.\nEssential Requirements\nTechnical background in electrical or mechanical engineering.\nManagement of sub-contractors.\nGCSE-level English and Maths.\nProficient in Outlook, Word, PowerPoint, Excel, and CAFM systems.\nStrong verbal and written communication skills.\nCustomer-focused with a professional approach.\nAble to work calmly and effectively under pressure.\nStrong attention to detail and task completion.\nDesirable Requirements\nA-Level, HNC/HND, or degree-level qualifications.\nPrevious experience leading a team.\nAwareness of Building Services or engineering environments.\nAt BGIS we believe that diversity and inclusion is a key business driver, such that we never lose sight of its importance as it is woven into the fabric of our organisation.
