The role is responsible for coordinating the end-to-end operational lifecycle of merchandise, from purchase order creation and supplier onboarding through pricing, shipment, receiving and invoice reconciliation. In addition, the role provides operational and analytical support to the Buying team, helping ensure product is launched accurately, delivered on time and commercially optimised for the US market. This is a highly cross-functional role requiring strong organisation, attention to detail and commercial awareness, with regular interaction with brand partners, the US warehouse and internal teams.\nWhat you'll be doing \nPurchase Orders & Order Management\nManage seasonal, replenishment and re-orders, ensuring accurate order entry and supplier communication.\n\nCreate and maintain purchase orders in Oracle RMS/CORE and communicate PO details to suppliers.\n\nMaintain accurate order and delivery trackers and follow up on outstanding orders and delivery timelines.\n\nCoordinate new item creation with MDM and validate product setup information.\n\nSupport accurate product ranging and market setup across relevant markets.\n\nCoordinate stock movements, including warehouse-to-store, inter-store, intercountry and Return to Vendor (RTV) transfers.\n\nSupplier Onboarding & Management\nCoordinate the operational onboarding and setup of new suppliers and brand partners.\n\nCollect and validate supplier documentation, including tax, banking and setup information.\n\nLiaise with internal teams to facilitate supplier creation and bank-detail verification.\n\nObtain required Letters of Indemnity and supporting documentation.\n\nAct as an operational point of contact for suppliers, following queries and actions through to resolution. \n\nPricing & Product Accuracy\nMaintain accurate US and cross-border pricing across systems and product assortments.\n\nProcess price changes, markdowns and promotional pricing in Oracle RMS and relevant systems.\n\nIdentify and escalate pricing discrepancies to Buying teams.\n\nPartner with Technology, Catalogue and eCommerce teams to resolve pricing, SKU, barcode and product-data issues.\n\nEnsure promotional and event-related product updates are completed accurately and on time.\n\nInvoice & Accounts Payable Support\nRaise supplier prepayment requests and coordinate with Accounts Payable to support timely payment.\n\nResolve supplier payment queries and invoice-matching discrepancies, including price, quantity and receiving variances.\n\nObtain missing invoices and supporting documentation from suppliers.\n\nCoordinate credit notes, debit notes and replacement purchase orders where required.\n\nSupport accurate booking of freight, shipping and customs costs.\n\nProvide Finance and Audit teams with invoices, proof of delivery and supporting documentation as required.\n\nReporting & Operational Excellence\nMonitor order, delivery, pricing and stock accuracy and proactively flag risks to the relevant stakeholders.\n\nAnalyse recurring operational issues and recommend corrective actions to reduce future supply chain and stock discrepancies.\n\nWork collaboratively across Buying, Supply Chain, Logistics, Finance, Technology, Catalogue, eCommerce and warehouse teams to continuously improve operational processes.\n\nSupport ad-hoc projects and business requirements relating to the continued growth of the US operation.\n\nWhat you’ll need to succeed \n5-6 years’ experience in retail operations, buying administration, merchandising, supply chain or a similar operational role, ideally within fashion, luxury or multi-brand retail.\n\nStrong understanding of purchase orders, product setup, pricing and inventory processes.\n\nExperience working with ERP or retail management systems; Oracle RMS experience is advantageous, SAP\n\nStrong Excel and analytical skills with the ability to interpret sales, stock and sell-through data.\n\nExcellent attention to detail and confidence working with high volumes of product and transactional data.\n\nStrong organisational skills with the ability to manage multiple priorities and deadlines. \n\nWhat we can offer you \nWith us, you will turn your aspirations into reality.
