The Program and Operations Support team ensures the smooth delivery of commercial energy efficiency projects and programs by providing critical administrative, operational, and project coordination support. This role is responsible for supporting Commercial Program Managers, Account Managers, Energy Auditors, Technicians, and Operations staff through project tracking, scheduling coordination, data management, reporting, payment processing, and quality assurance activities. The position is primarily internal-facing and plays a key role in ensuring projects move efficiently through the program lifecycle while maintaining high standards for accuracy and compliance.

- Coordinate and track commercial energy efficiency projects from initiation through completion.
- Support Technicians, Energy Auditors, Account Managers, Project Managers, and Operations staff with project logistics and administrative activities.
- Review, verify, and maintain project documentation, files, correspondence, and program records to ensure accuracy and completeness.
- Process project transactions and payments in accordance with program requirements and established procedures.
- Enter, maintain, validate, and audit data across multiple systems, including CRM platforms, utility portals, and internal tracking tools.
- Perform quality assurance and quality control reviews to identify and resolve documentation, data, and project processing errors before submission.
- Process project information and applications through Salesforce, utility portals, and other program management systems.
- Coordinate material ordering requests for project teams, including energy-saving measures and program-related equipment such as weather stripping, showerheads, and other installed products.
- Track material inventory requests and coordinate delivery to the appropriate warehouse, program location, or project team.
- Export and distribute predesigned reports to support project management, forecasting, and operational decision-making.
- Compile and monitor pipeline data to provide visibility into project status, workload forecasts, and program performance metrics.
- Assist with scheduling coordination, including organizing meetings, coordinating cross-functional project activities, and sending calendar invitations as needed.
- Attend staff meetings and provide ongoing program and operational support.
- Complete special projects and process improvement initiatives as assigned.
In this exciting career opportunity, you will have...
- 2-4 years of project coordination, administrative support, operations support, or related experience.
- Bachelor's degree preferred.
- Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
- Experience with data entry, data validation, reporting, and quality assurance processes.
- Demonstrated attention to detail and commitment to data accuracy.
- Proficiency with Microsoft Office Suite, including Excel, Outlook, Word, and Teams.
- Experience working with CRM systems, Salesforce, project tracking applications, or comparable database platforms preferred.
- Strong written and verbal communication skills.
- Ability to work independently while supporting a diverse group of stakeholders.
- Experience supporting commercial energy efficiency, utility, construction, engineering, facilities, or related programs preferred.
