About the Opportunity

The primary purpose of this position is to support the Foundation’s accounting operations through accurate transaction processing, reconciliations, analysis, reporting, document retention, and related Finance support. The position manages the accounts payable process and credit card administration, including transaction review, payment processing, documentation, reporting, and follow-up with departments, Finance team members, cardholders, and vendors. The role also supports month-end and year-end close, audit and tax preparation, budgeting, financial planning, policy and procedure maintenance, research, and analysis activities as assigned. Working under the direction of Finance leadership, the position applies established policies and procedures, identifies and resolves routine issues, escalates exceptions appropriately, and processes credit card limit changes only after CFO approval. The position reports to the Sr. Director, Accounting and Financial Operations. 

The Clinton Foundation Finance Department is responsible for recording, reporting, and monitoring financial matters and supports the mission of the Foundation. Finance Department members collaborate with programmatic, development, and departmental colleagues to develop program specific budgets and staffing plans as well as assist with the strategic plans of the Foundation. Certain members of the Finance Department also work closely with members of the Human Resources team on matters related to compensation and benefits.

Core Responsibilities 

In this role you will:

Accounts Payable Management

  • Manage the accounts payable process, including daily review, coding, processing, and submission of invoices, credit memos, and expense reimbursements.
  • Prepare payment reports, submit processed payments, and coordinate payment-related follow-up with departments, Finance team members, vendors, and the postal service.
  • Research and resolve routine payment issues, including stale-dated checks, non-receipt of payments, and incorrect vendor information.
  • Maintain the Accounts Payable inbox, vendor records, contract documentation, electronic funds transfer notifications, and monthly AP reconciliations.
  • Review contracts and supporting documentation to confirm payment terms, coding requirements, and 1099 considerations before processing and archiving in the general ledger system.

Accounting Transactions, Analysis, and Reporting

  • Perform monthly close transactions, prepare recurring reports, and complete routine financial analysis and assigned accounting entries.
  • Prepare balance sheet reconciliations, research routine variances, and communicate findings or follow-up items to Finance leadership. 
  • Support budget preparation, forecasting updates, grantor reporting, and internal reporting by compiling data, preparing schedules, and reviewing supporting documentation.
  • Support reporting and analysis needs by gathering data, reviewing general ledger activity, preparing summaries, and identifying items requiring follow-up or escalation.

Credit Card Administration

  • Manage credit card administration, including transaction monitoring, documentation review, monthly reporting, and cardholder follow-up.
  • Maintain credit card account records, update cardholder profiles, process CFO-approved credit limit changes, respond to fraud alerts, and add new projects or accounts as needed.
  • Monitor the credit card support inbox, compile early receipt submissions, distribute monthly statements, and track cardholder approvals and compliance follow-up.
  • Import credit card transactions into the general ledger system for accounts payable processing and prepare monthly escalation reports for Finance leadership.
  • Coordinate annual cardholder compliance activities and facilitate onboarding for new users.

Year-End Close, Audit, and Tax Support

  • Support year-end close by preparing schedules, reviewing supporting documentation, resolving routine follow-up items, and coordinating with Finance team members.
  • Support the annual financial audit by gathering documentation, preparing account support, responding to routine auditor requests, and escalating complex or unusual items to Finance leadership.
  • Support tax reporting and filing activities, including 1099 review, vendor information review, tax schedule preparation, and annual tax return support under Finance leadership direction.

Document Retention, Policy, and Procedure Suppor t

  • Maintain AP, credit card, contract, payment, and related Finance documentation in accordance with established document retention procedures.
  • Maintain and update accounts payable, travel and expense, credit card, reimbursement, and related Finance procedures and forms in coordination with Finance leadership.
  • Maintain supporting documentation for early receipt submissions, cardholder compliance, and credit card administration processes.
  • Coordinate secure storage, organization, and retrieval of records to support audit readiness, compliance, and timely response to requests.

Minimum Qualifications 

What we’re looking for:

Education (Minimum Needed and Type of Degree Needed):

  • Minimum Required: Bachelor’s degree in accounting, finance, or business administration.

Work Experience (Minimum Needed):

  • Minimum Required: At least 5 years of professional accounting, accounts payable, finance operations, or related experience.

  • Preferred: Experience with nonprofit accounting or fund accounting.

Specialized Knowledge and Skills Needed for Performance of Job:

  • Working knowledge of GAAP and fund accounting; ability to prepare reconciliations, review financial information, identify routine variances, communicate findings to management, and apply strong analytical, problem-solving, oral, and written communication skills.

  • Knowledge of accounting software and proficiency with computers, Microsoft Office, and related financial systems; ability to learn and follow Foundation-approved systems, workflows, and documentation standards..

Compensation & Benefits

  • Our best estimate of the compensation for this opportunity is $56,000 annually. This range is based on Little Rock market rates.  We look forward to discussing our compensation pricing strategy and your expectations throughout the interview process.
