Inside Sales & Procurement Specialist

We are looking for a Mid-level Inside Sales & Procurement Specialist to support our existing customers and international projects across IT hardware procurement, Microsoft licensing and day-to-day commercial operations.

In this role, you will coordinate the full commercial process — from preparing quotations and sourcing hardware to managing Microsoft subscriptions, renewals, margins, orders and customer billing. You will work closely with customers, project teams, technical specialists, distributors and Microsoft partners to ensure that commercial processes run accurately and efficiently.

This is not a cold-calling or new-business acquisition role. The focus is on supporting and developing existing customer relationships, managing partner programs and maintaining control over licensing, purchasing and billing processes.

Your responsibilities

• Manage the procurement of IT hardware, components and software licenses for customer projects and existing accounts.

• Request and compare quotations from distributors and vendors and negotiate pricing, availability and commercial terms.

• Work with project managers and technical teams to translate customer requirements into appropriate hardware and licensing solutions.

• Prepare customer quotations, calculate margins and process sales and purchase orders.

• Coordinate deliveries, lead times, returns, warranty requests and order discrepancies.

• Manage Microsoft 365 licenses and subscriptions, including new orders, quantity changes, renewals and cancellations.

• Maintain accurate licensing records, commitment periods, subscription quantities and renewal dates.

• Support cloudatus’ Microsoft CSP activities and work with distributor portals and Microsoft Partner Center.

• Monitor Partner Program requirements, benefits and renewal deadlines.

• Coordinate customer invoicing and work with Finance to reconcile supplier charges, licensing data and customer billing.

• Proactively identify upcoming renewals, licensing optimisation opportunities and additional customer needs.

• Maintain accurate data in our ERP/CRM system and help improve purchasing, quotation and billing processes.

What we’re looking for

• 3+ years of relevant professional experience in IT procurement, software licensing, inside sales, sales operations or a similar commercial role within an IT company, reseller or distributor.

• Hands-on knowledge of Microsoft licensing, particularly Microsoft 365 and subscription-based licensing models.

• Experience coordinating customer invoicing and ensuring that billing data, orders and supplier charges are accurate.

• English at minimum B2 level.

You’ll need this too:

• Practical experience with IT hardware procurement and working with distributors and vendors.

• Experience preparing customer quotations, comparing offers, working with pricing and coordinating orders.

• Strong working knowledge of Excel and hands-on experience with ERP or CRM systems.

• Strong attention to detail and accuracy, especially when working with pricing, licenses, quantities, renewals and invoices.

• A structured and independent working style with the ability to manage several requests at the same time.

• Strong communication skills and a customer-oriented mindset.

Bonus points if you have:

• German language skills.

• Knowledge of Microsoft Azure and its commercial/licensing models.

• Experience with Odoo or a similar ERP system.

• Familiarity with Microsoft Partner Center, CSP and NCE subscriptions.

• Knowledge of ALSO Marketplace or other distributor marketplaces.
