You report to the Head of Finance.\nWhat you'll own\nYour primary responsibility is ensuring digital bookings are accurately invoiced, collected, tracked, and prepared for client payouts. You will also provide ongoing accounting support.\nInvoicing and collections - Digital Division\nCreate and send invoices to brands and platforms in HubSpot for each digital booking\nTrack what has been paid and what is outstanding, and follow up on overdue invoices\nRecord incoming payments against the right invoice and client\nResolve payment discrepancies with managers and counterparties\nClient trust account - Digital Division\nTrack every payment that lands in the client trust account in HubSpot\nCalculate the split on each payment: the client's share and Linden's commission\nPresent the payout and commission calculations to the Head of Finance twice a month; the Head of Finance moves the funds\nRun the HubSpot client funds report showing what was collected, paid out and still owed to each client\nReporting- Digital Division\nSend a weekly report to digital managers showing paid and outstanding bookings by client\nKeep backup for each booking (contract, invoice, payment, split) ready for month-end and the annual audit\nUpdate projection files with confirmed and paid amounts from HubSpot\nPrepare monthly journal entries to record digital revenue in Sage\nProvide ad hoc reporting and accounting support as needed\nGeneral Accounting\nEnter and code vendor bills in bill.com\nPrepare and enter journal entries in Sage such as bank activity and interest income\nPrepare monthly accrual, prepaid, and fixed asset journal entries and maintain associated schedules\nSystems and people\nYou work mainly in HubSpot, with view-only access to the trust account.\nHubSpot - Your main system: invoices, payment tracking, trust account records, client funds report\nSage - Revenue entries, bank activity, interest income, accruals, prepaids, fixed assets.\nBill.com - Vendor bill entry, GL coding\nClient - trust account View-only: confirm what has landed and match it to invoices\nHead of Finance - Your manager. Reviews your split calculations, makes all transfers and payouts, and shadows the process during onboarding\nThe digital managers - Send you bookings and contracts; receive your weekly report\nBrands and platforms -
