The Receptionist is responsible for entering and processing client data, receiving and processing all incoming calls, scheduling appointments, and projecting a positive image of the Agency while maintaining a professional and efficient waiting area. The Receptionist will treat all individuals with dignity and respect, make necessary referrals for clients, and exemplify the South Central Community Action Program, Inc. (SCCAP) commitment to empowering people to reach their potential.
ESSENTIAL DUTIES & RESPONSIBILITIES

- Operates and coordinates all functions of the receptionist desk.
- Greet employees, clients, and visitors in a professional and courteous manner.
- Answer, screen, and forward incoming phone calls; take detailed messages; and manage general company email inquiries
- Assists walk-in clients with filling out initial applications and gathering required eligibility documents.
- Maintains accurate and timely records including client intake logs, files and filing systems.
- Operates the Bloomington Water and Trash Bag Assistance Program.
- Performs a variety of clerical duties including filing, photocopying, faxing, scanning, etc.
- Keeps the reception area and lobby clean, organized and stocked with necessary supplies.
- Monitor lobby access, maintain visitor logs, and follow building safety.
- Prepares the Agency for opening and closing.
- Sort incoming mail, handle packages, and prepare outgoing shipments or mailings.
- Answer basic inquiries regarding the agency’s mission, programs, or volunteer opportunities.
Qualifications
SKILLS & EDUCATION REQUIREMENTS
High school diploma or GED; supplemented by some prior relevant work experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Individual must be able to satisfactorily perform duties and;
- Previous customer service or administrative office experience is preferred.
- Exceptional verbal communication, patience, empathy, and the ability to interact respectfully with diverse community members. Spanish speaking ability a plus.
- Possess good organizational skills, with sensitivity to details.
- Strong attention to detail for keeping records, schedules, and files up to date.
- Proficiency with computers, phone systems, and office software like Microsoft Office.
REQUIRED SKILLS/ABILITIES
- Must be philosophically compatible with the mission of SCCAP.
- Must ensure efficient operations and present a professional image in conduct, attitude, and attire.
- Must maintain the integrity of confidential employment, client and business information.
- Ability to work under moderately stressful conditions, to respond immediately to crisis situations, and to balance priorities within and between offices/departments.
- Must be able to obtain CPR and First Aid Certification.
- Ability to protect self and others when dealing with aggravated, irate, upset, unstable, violent, and/or intoxicated persons/clients.
- Ability to travel locally, regionally and nationally to attend to daily work demands, workshops and conferences.
PHYSICAL/MENTAL DEMANDS
Requires sitting, standing, stooping, bending and reaching with manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, copy machines, telephone and other office equipment. May require lifting up to 40 pounds. Requires normal range of hearing and vision.
Must be able to handle diverse work problems on a daily basis. Requires ability to set priorities and work schedule, yet adjust to changes necessitated by last minute assignments and deadline requests that may prove stressful. Consistent pleasant attitude is necessary with personal maturity as an important attribute. Must relate and interact with people at all levels of the company and in a culturally diverse environment.
