Why We're Hiring

The Project Coordinator will provide cross-functional support to ESCO’s Brand Management and Business Development teams, helping move new partnerships and licensed products from initial opportunity through development, approval, and launch.

This person will serve as a central liaison among ESCO’s internal Product, Creative, Marketing, Sales, Operations, Finance, and Legal teams-as well as external IP holders, record labels, artist management teams, licensors, agencies, retailers, and other partners.

The Project Coordinator will manage project timelines, partner submissions, product and creative approvals, meeting follow-ups, asset requests, and key deliverables. The role will also support ESCO’s growing business-development pipeline through research, presentation development, opportunity tracking, and partner coordination.

The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple projects and stakeholders simultaneously. This is an opportunity to gain hands-on experience across licensing, business development, brand management, product development, and go-to-market execution within a rapidly growing music and culture collectibles business.

The successful Project Coordinator will bring structure, visibility, and consistent follow-through to ESCO’s partnership and product-development processes.

Projects will have clearly defined timelines, owners, deliverables, and next steps. Partner submissions and approvals will be accurately tracked, feedback will reach the right teams, and potential delays will be identified early. The business-development pipeline will remain organized and current, enabling leadership to make informed decisions and prioritize the strongest opportunities.

Most importantly, this person will help ESCO turn more partnership opportunities into successful products by ensuring seamless coordination from initial conversation through development, approval, and launch.

What You'll Do

    Project and Brand Management

  • Support the Director of Brand Management in coordinating licensed-product development from initial concept through production and launch.
  • Build, maintain, and communicate project timelines, milestones, approval deadlines, launch dates, and internal deliverables.
  • Coordinate project kickoffs and ensure internal teams receive the necessary deal terms, creative direction, assets, style guides, product requirements, and partner information.
  • Track product concepts, card checklists, artwork, packaging, samples, marketing materials, and other project deliverables.
  • Schedule project meetings, prepare agendas, capture decisions, document action items, and follow up with responsible team members.
  • Identify missing information, approval delays, and other potential risks before they affect production or launch timing.
  • Coordinate handoffs among Business Development, Brand Management, Product, Creative, Marketing, Sales, Operations, Finance, and Legal.
  • Support the development and maintenance of product calendars, launch trackers, approval logs, and project-status reports.
  • Help ensure that internal teams remain aligned on partner expectations, contractual requirements, product scope, and launch timing.
  • Licensing and Partner Approvals

  • Serve as a day-to-day liaison between ESCO’s internal teams and IP holders, record labels, artist management teams, licensors, agencies, and brand partners.
  • Coordinate submissions and approvals for product concepts, artwork, card designs, packaging, copy, photography, promotional materials, retail presentations, and product samples.
  • Maintain detailed approval trackers showing submission dates, partner feedback, revision status, deadlines, and final approvals.
  • Review submissions for completeness and accuracy before sending them to external partners.
  • Consolidate partner feedback and translate it into clear, actionable direction for Product, Creative, and Marketing teams.
  • Follow up with partners to keep approvals moving and escalate potential delays when necessary.
  • Maintain organized records of approved artwork, assets, legal notices, logos, trademarks, style guides, samples, and approval correspondence.
  • Track relevant contractual requirements, including approved product categories, territories, distribution channels, exclusivity, launch windows, talent approvals, and marketing commitments.
  • Coordinate the receipt and movement of partner-supplied materials such as photography, video, reference assets, autographs, relics, logos, and brand guidelines.
  • Business Development Support

  • Support the Director of Business Development in identifying and developing new partnerships, licensing opportunities, distribution relationships, brand collaborations, and growth initiatives.
  • Research prospective artists, entertainment properties, brands, licensors, retailers, distributors, and strategic partners.
  • Assist with pitch decks, presentations, proposals, product concepts, meeting materials, and opportunity summaries.
  • Coordinate introductory calls, partner meetings, presentations, follow-up communications, and next steps.
  • Maintain ESCO’s business-development pipeline, including partner contacts, opportunity stages, deal status, revenue potential, open requests, and next actions.
  • Ensure pipeline information is consistently updated in Airtable or other business-development tracking systems.
  • Help prepare weekly pipeline and project-status reports for leadership.
  • Track outstanding proposals, term sheets, contracts, assets, samples, approvals, and partner decisions.
  • Assist with industry, retail, competitor, artist, category, and cultural-trend research.
  • Support ESCO’s participation in trade shows, conventions, partner meetings, retailer presentations, and industry events.

Who You Are

  • 2-4 years of experience in project coordination, brand management, licensing, business development, product development, marketing, account management, or a related field.

  • Bachelor’s degree or equivalent relevant professional experience.

  • Strong organizational and project-management skills with exceptional attention to detail.

  • Ability to manage multiple projects, stakeholders, approval rounds, and deadlines simultaneously.

  • Excellent written and verbal communication skills.

  • Strong follow-through and the ability to keep projects moving across internal and external teams.

  • Ability to organize complex information and communicate clear priorities, responsibilities, and next steps.

  • Professional and confident when interacting with internal leadership and external partners.

  • Proficiency with presentation software, spreadsheets, shared project-management platforms, and pipeline-management tools.

  • Comfortable working in a fast-paced, entrepreneurial environment where priorities may evolve quickly.

  • Collaborative, resourceful, proactive, and willing to take ownership of both project details and broader team needs.

  • Genuine interest in music, entertainment, pop culture, consumer products, and collectibles.

  • Preferred Qualifications

  • Experience in music, entertainment, licensing, trading cards, collectibles, consumer products, retail, media, or a related industry.

  • Experience coordinating licensed-product submissions or working within a formal creative approval process.

  • Familiarity with record labels, artist management companies, entertainment studios, brands, licensors, retailers, or distributors.

  • Experience supporting consumer-product development, packaging, creative production, marketing campaigns, or product launches.

  • Working knowledge of Airtable, Monday.com, Asana, Smartsheet, Salesforce, or similar project and pipeline-management platforms.

  • Understanding of the trading-card and collectibles ecosystem, including retail, hobby, e-commerce, direct-to-consumer, and live-event channels.

  • Experience supporting trade shows, conventions, partner presentations, or product launches.
