As a Recruiting Operations Specialist, you'll own the day-to-day workflows that keep hiring moving at CookUnity, from interview scheduling and reference-check coordination to recruiting systems, data, and reporting.\nReporting to the Senior Manager of Talent Acquisition, you'll partner with recruiters, hiring managers, and People Operations across regions. You'll balance hands-on execution with practical improvements that reduce manual work, strengthen data quality, and create a smooth experience for candidates and hiring teams. This is an opportunity for someone who enjoys both getting the details right and finding better ways to work.\nResponsibilities:\nOwn interview scheduling and logistics across departments and time zones, including executive interviews, case presentations, rescheduling, preparation materials, and timely candidate communication.\nManage the reference-check workflow, from collecting contact details and coordinating outreach, calls, and forms to tracking completion and documenting feedback in partnership with recruiters.\nManage recruiting administration, including requisition setup, job postings, approval tracking, offer documentation, and handoffs to People Operations.\nOwn day-to-day administration of Greenhouse ATS and support related recruiting tools, maintaining interview plans, scorecards, templates, and permissions, and troubleshooting issues.\nKeep recruiting data accurate and consistent through regular audits, clear standards, and timely resolution of data-quality issues.\nMaintain recurring pipeline and CRM reports, surface bottlenecks and missing feedback, and turn findings into practical recommendations.\nImprove workflows and handoffs, and use automation and AI thoughtfully to reduce repetitive work, testing changes and reviewing outputs carefully.\nCreate clear documentation and training materials, help hiring teams adopt consistent processes, and partner on cross-functional operational improvements.\nHandle sensitive candidate and employee information with discretion and in accordance with applicable data-protection requirements.\nRequirements:\n4+ years of experience in recruiting operations or coordination, with demonstrated ownership of workflows and process improvements in a fast-paced environment.\nExperience supporting multiple recruiters and managing complex interview schedules across teams and time zones.\nStrong hands-on ATS experience, including workflow configuration, data management, and reporting; Greenhouse experience is strongly preferred.\nStrong spreadsheet and reporting skills, with the ability to spot inconsistencies, identify patterns, and explain what the data means.\nA track record of improving processes, documenting workflows, and helping stakeholders adopt new ways of working.\nExcellent organization, attention to detail, and follow-through, with the judgment to prioritize competing requests and resolve issues independently.\nExcellent written and verbal communication skills in English and Spanish, and a thoughtful approach to candidate and stakeholder relationships.\nComfort with hands-on administrative work, curiosity about automation and AI, and discretion when handling confidential information.\nNice to have:\nExperience with Gem or recruiting CRM workflows, LinkedIn Recruiter, Canditech, or scheduling platforms.\nExperience building dashboards or recurring reports in Google Sheets or business-intelligence tools.\nPractical experience with no-code automation, system integrations, or AI-assisted workflows.\nExperience in a startup or scaleup with a lean, global Talent Acquisition team.\nLearn More About CookUnity\nWe believe great leadership starts with alignment on vision, values, and ways of working.
