This role involves coordinating communication between clients, chemists, and internal teams to ensure smooth workflow, timely issue resolution, and precise reporting. Additionally, the Operations Coordinator is responsible for maintaining laboratory databases, updating client portals, and ensuring full compliance with operational procedures. Due to the 24/7 nature of laboratory operations, this position requires some shift work and on-call duties.\nDUTIES & RESPONSIBILITIESinclude the following. Other duties may be assigned.\n· Serve as the primary point of contact for clients, providing regular updates on ongoing operations.\n· Coordinate and prepare analysis instructions for chemists, ensuring all necessary details are conveyed before testing begins.\n· Work closely with Inspectors, chemists, lab managers, and supervisors to monitor operations, resolve issues, and keep clients informed of any changes.\n· Provide expert consultation on standard test methods and quality calculations upon client request.\n· Obtain client approval for any modifications to testing methods and prepare confirmations accordingly.\n· Ensure the accuracy and completeness of analysis reports, making necessary corrections before submission.\n· Manage invoicing and ensure timely submission of documents, including export documentation.\n· Sign off on final laboratory reports, ensuring results are approved before submission to clients.\n· Participate in the general operation of the laboratory, contributing to continuous improvement and efficiency.\n· To always respect and protect company and client confidentiality.\n· Perform additional duties as assigned, demonstrating adaptability and a commitment to operational excellence.\nQUALIFICATIONS\nSchool-leaving certificate required; university-level education preferred.\nMinimum of 5 years of experience working in Operations.\nProficiency in spoken Bulgarianand English.\nEligibility to work in Bulgaria (Work permit)\nDriver’s License.\nCompetence in routine analytical procedures and the ability to perform Operational tasks independently.\nExperience in fuel analysis is highly advantageous.\nFlexibility to work shifts and be on call, including one evening shift per week and one weekend every six weeks.\nKNOWLEDGE, SKILLS & ATTRIBUTES\nStrong understanding of laboratory processes and standard testing methods, particularly in petroleum and biofuel analysis.\nExcellent analytical & problem-solving skills.\nStrong communication, presentation, and interpersonal skills.\nAbility to work independently and collaboratively in a fast-paced and dynamic environment.\nEffective communication skills for reporting results and collaborating with stakeholders.\nCommitment to quality assurance and safety compliance.\nProficient in Microsoft Office applications.\nCOMPETENCIES\nExecution Excellence: deliver impact through practical problem-solving, finding practical solutions to navigate and overcome obstacles; engagement with stakeholders, achieving shared goals using effective interpersonal skills; and purposeful execution, implements actionable and adaptive plans to achieve results.\nPeople Advocacy: build human-centric organizational cultures that promote performance, productivity and wellbeing, navigating change, and holding the organization to ethical standards, ensuring ethical conduct and compliance, and mitigating people risks.\nData Literacy: analyse, interpret, and communicate operational data to derive actionable insights, inform decision-making, and operational improvements to achieve strategic business objectives.\nDigital Agility: utilize technology to enhance operational efficiency and prepare the organization to adopt digital practices.\nLeading Self: has a self-awareness of how actions are perceived and how to respond to feedback.
