In addition to managing capital projects, this position is expected to bring a continuous improvement mindset to the work of the department. The Facilities Project Manager collaborates with colleagues to identify opportunities to strengthen processes, enhance project management practices, improve documentation, and recommend solutions that increase efficiency, consistency, and the overall effectiveness of project delivery.This position serves as a trusted partner to College leadership, faculty, staff, consultants, architects, engineers, contractors, and other stakeholders to successfully deliver projects that advance the College's strategic priorities.\n\nESSENTIAL JOB FUNCTIONS\nProject Leadership\nIdentifies appropriate internal and external constituents for project or program deliverables, schedules and manages project team meetings, and tracks progress against established goals\nDevelops project, program, and process initiative schedules and milestones. Actively completes these initiatives, maintaining College quality standards throughout the project life cycle\nManages consultants and contractors, including review of proposals, contracting, and related supervision, to ensure complex process and program deliverables are achieved\nParticipates in and/or leads PDC process development initiatives, process training, tracking and measurement, and implementation\nThis includes PDC Systems development initiatives across multiple platforms (i.e., Smartsheet, V-drive, Workday integration, etc.)\nManages multiple capital improvement projects from project initiation through completion and occupancy. Develops project scopes, schedules, budgets, milestones, and implementation plans\nCoordinates and facilitates project meetings and monitors progress against established goals\nManages project scope, schedule, budget, quality, and risk throughout the project lifecycle\nEnsures projects are completed in accordance with college standards, applicable regulations, and established quality expectations\nPublic Procurement & Contract Administration\nLeads consultant selection processes utilizing public procurement requirements, including Requests for Qualifications (RFQs), Requests for Proposals (RFPs), qualifications-based selection, and competitive bidding processes\nCoordinates procurement activities with the College's Procurement, Business Office, Legal, and other departments. Manages consultant and contractor contracts throughout project delivery\nPrepares Board Action materials, project approvals, and supporting documentation\nAssists with State of Ohio funding, Controlling Board submissions, and other required public approval processes\nRelationship Management\nSupports development efforts with other College Operations teams critical to PDC's success, including but not limited to Security, Technology, Procurement, and the Business Office\nEngages with Faculty, Staff, and Administration to interpret business needs and develop appropriate project scopes to address those needs\nAssists clients to understand the project alternatives that support their needs and provides counsel to determine the appropriate solution, balancing project needs, budget, schedule, and impact\nWorks closely with College Leadership, Staff, and third parties to develop, implement, complete, and operate new and enhanced projects, processes, and initiatives\nCoordinates with College user groups, architectural teams, interior designers, consultants, construction teams, in-house specialists, and related vendors\nFunctions as a liaison to other departments. Maintains effective working relationships with internal and external stakeholders\nBuilds strong working relationships with faculty, staff, administrators, consultants, architects, engineers, contractors, and business partners\nPartners with College stakeholders to understand operational needs and translate those needs into successful project solutions\nProvides professional guidance regarding project alternatives, budgets, schedules, and implementation strategies\nCoordinates project activities with the Police, Information Technology, Procurement, Facilities Management, the Business Office, and other College departments\nServes as a liaison between project teams and campus stakeholders throughout project planning and implementation\nFiscal & Administrative\nDevelops and maintains current and accurate budget control documents. Analyzes and controls initiative expenses throughout their development. Invoices and processes payment\nResearches and collects cost data from vendors and project sources for historical purposes\nSupports Controlling Board submission, project setup, project requisitions, funding source identification, contract administration, and retention management in partnership with the Business Office\nDevelops and maintains project budgets and financial tracking documents.
